Job Title: Service Support Specialist, MS
Job purpose
Responsible for administrative and business support functions that include maintaining critical service files for the service and other management including ELT. Provide high quality and efficient support to all MS teams, including but not limited to service, applications, and operations. Customer interactions with a focus on experience, satisfaction and rapid response.
Duties and responsibilities
- Data entry and compliance duties within salesforce service database (includes cryogen logs, backorder updates and additional data.)
- Remote monitoring of modality solutions installed base via Sentinel and escalates identified issues to management and technical support.
- Research and running of various management reporting tools and analysis of data forwarding necessary information to applicable stakeholders.
- Liaison for outside service administrative needs and routing for completion with internal departments (includes completion of NDAs, NCAs, and other documents for dealers, and other Fujifilm business units)
- Participates in the Duty ASM rotation when primary Duty ASM is unavailable, includes triage of customer calls and engaging appropriate company resources.
- Conduct required phone and email customer contact to follow up on MS installations or service issues, escalating to service management as needed.
- Cross-functional training with CSC, participating in call center activities at times.
- Create ad hoc reports as business need evolves and dictates.
- Receive and organize inbound/outbound mail. Distribute incoming mail to internal recipients. Forward payment payments and checks to the appropriate Fujifilm office(s) or bank.
- Receptionist for Technical Building.
- Supply orders for office supplies and supplies for kitchens in the Technical Building.
- Maintain & Stock both technical building kitchens.
- Assist with service onboarding and new hire activities.
- Transportation arrangements for visitors (interview candidates, vendors, customers). Escort guests within the technical building.
- Assist in planning for lunches and/or dinners as requested.
- Performs special projects and tasks as requested.
- Adheres to the Company’s quality and regulatory compliance requirements, without exception, and ensures that all job duties inherent in the position description are performed in accordance with established policies and procedures.
- Comply with all applicable U.S. Food and Drug Administration (U.S. FDA) medical device regulatory requirements, applicable ISO 13485 standard requirements and all other applicable laws, regulations, and standards.
Qualifications
Experience:
- Experience as administrative support person up to executive level management desired, preferably in a technical service or engineering environment.
Educational requirements:
- Bachelor’s or Associate’s degree in Business Administration or related field of study preferred; equivalent experience will be considered.
Special skills or other job requirements:
- Ability to work overtime as needed.
- Strong ability to resolve a conflict or issue quickly and completely; provide alternative solutions as necessary.
- Ability to transform data from a wide range of sources into useful information. Detail oriented with critical thinking and ability to problem solve.
- Strong ability to manage and execute multiple projects at the same time; organize work and self as necessary.
- Excellent ability to communicate with all levels of internal and external organizations; actively participates in meetings and other departmental gatherings; excellent verbal and written communication skills.
- Ability to type at a rate of at least 35 WPM with 95% accuracy.
- Strong ability to address issues and maintain confidentiality; develop relationships. Strong listening skills and ability to determine needs of managers, colleagues and vendors.
- Exceptionally strong skillset in Microsoft Office products (Excel, Word, PowerPoint, etc.).
- Must be able to work with minimal supervision.
- Must have a valid driver’s license with a safe driving record.
Physical requirements
