The Service Manager/Scheduler is responsible for managing and coordinating all HVAC scheduling activities, ensuring customer requests are addressed promptly, and technicians are effectively routed for service efficiency. This position plays a critical role in maintaining operational excellence, customer satisfaction, and overall workflow optimization.

- Scheduling and Coordination:
- Schedule HVAC service calls, installations, and maintenance activities based on customer needs and technician availability.
- Optimize technician routes and schedules for maximum efficiency and minimal travel time.
- Adjust schedules proactively to accommodate urgent requests, delays, or changes in priorities.
- Customer Communication:
- Communicate appointment details, updates, and potential changes to customers in a professional and courteous manner.
- Address and resolve customer scheduling inquiries, complaints, and conflicts.
- Technician and Resource Management:
- Allocate technicians and resources based on job requirements and priorities.
- Track and maintain inventory of HVAC parts, tools, and supplies to ensure readiness for scheduled jobs.
- Support technicians with updated schedules and dispatch details as needed.
- Administrative and Operational Support:
- Maintain accurate records of appointments, service calls, and job statuses using scheduling software.
- Generate reports on job completion rates, technician performance, and scheduling efficiency.
- Collaborate with dispatchers, service managers, and operations teams to ensure smooth workflow and communication.
- Identify and implement strategies for improving scheduling processes and operational efficiency.
- Compliance and Industry Knowledge:
- Ensure compliance with company policies, safety standards, and HVAC industry regulations.

- Education & Experience:
- High school diploma or equivalent required; Associate's degree or certification in a relevant field is a plus.
- Proven experience in scheduling, preferably in an HVAC, construction, or service-related industry.

- Proficiency in scheduling software and Microsoft Office Suite.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal abilities to manage customers and team members effectively.
