JOB PURPOSE:
Responsible for helping deliver profitable growth by supporting the service teams in generating time and material quotations as well as planned maintenance quotations. Ensures positive vendor relationships are maintained through exceptional customer service. Manage all parts orders for each service center.
ESSENTIAL DUTIES and RESPONSIBILITIES:
- Respond to inquiries from internal and external customers for pricing. Review project specifications and prepare cost estimates for time and materials and/or SafeDoor PM programs.
- Interpret and analyze customer inquiries which may vary broadly in nature, e.g. quotations, terms, deliveries, applications, service, complaints, adjustments, requests for literature, catalogs, price lists, instructions, etc.
- Offer suggestions regarding vendor options. Secure best pricing for project components with appropriate vendors.
- Manage data in Servman ERP system to ensure accuracy. Maintain all customer information, pricing, and customer contracts as applicable.
- Manage all parts inquiries, including questions, concerns, and searches. Process parts orders, requests for available parts in warehouses or places to drop ship orders from vendors.
- Process and log all return authorizations and warrantied parts as applicable.
- Communicate with both internal and external customers regarding the status of parts orders via telephone or e-mail.
- Verify inventory on an as-needed basis by collaborating with each service center’s Service Manager to perform cycle counts.
- Other tasks as needed or requested.
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent.
- Two or more years of customer service and/or estimating experience.
- Strong verbal, written, presentation and interpersonal communication skills.
- Self-motivated with exceptional attention to detail.
- Excellent organizational skills and the ability to handle multiple projects simultaneously.
- Demonstrated ability to apply computer technology and software in day-to-day tasks, including Microsoft Office products such as Excel, Word, and PowerPoint.
PREFERRED QUALIFICATIONS:
- Knowledge of building material supply principles and practices related to commercial construction.
PHYSICAL AND MENTAL DEMANDS:
While performing the duties of this job, the employee is frequently required to sit, stand, talk, and hear. In addition, the employee is frequently required to use hands to write documents, operate a computer, and perform similar office tasks. The employee is required to be mobile within the office and warehouse. The employee must be able to lift and move up to 50 pounds when carrying product samples, demonstration kits, office files, packages, parts, etc. The employee is occasionally required to drive, climb stairs and ladders. Specific vision abilities required by this job include ability to drive, ability to view computer screens and documents, and the ability to adjust focus. Protective Clothing Required: Closed toed shoes required. Safety glasses and steel toed shoes required when / if working in warehouse or field.
