Senior Specialist, Payroll Operations - Alzheimer's Association

The Senior Specialist, Payroll Operations is responsible for the preparation and processing of the Association’s bi-weekly, multi-state payroll; ensures the accuracy of the data and its correct usage within an outsourced automated payroll system; maintains the highest integrity, confidentiality, and strict regulatory compliance in all payroll-related activities and follows company policies and procedures; and assists employees in resolving payroll issues and in answering payroll-related questions.

ESSENTIAL JOB FUNCTIONS:

• Prepare and process all payroll documents received from Human Resources via electronic import file and employees bi-weekly utilizing UKG Payroll software, UKG/HRB, PayExpert, Enterprise E-Time, GLI and Excel including calculating salary increases, termination final pay, processing Leave of Absence payments, bonus, W4 tax changes, and miscellaneous pay adjustments.
• Audit electronic timesheets including balancing payroll batch entries, and audit of all payroll transactions each cycle.
• Ensures receipt of proper documentation authorizing any data changes; audits key control points for accuracy; if necessary, obtains proper documentation and re-verifies the documentation prior to system entry
• Process garnishments, wage deduction orders, and other employee deductions according to state and federal guidelines and in adherence to company policy.
• Audit Time Off Benefits related to Leave of Absences and timesheet transactions: calculate, monitor, generate reports and follow-up on questions to manage balances, utilizing Excel, Microsoft Word, and UKG systems.
• Process in UKG systems adjustments for employee reporting of W2’s, third-party sick pay, and miscellaneous pay adjustments for 941 quarterly reporting.
• Participate in the year end process and generating of W2’s.
• Participate in the Annual Finance Audit as it relates to payroll processing.
• Audit 401(k) monthly, quarterly, and annually to maintain compliance with plan specifications and verify accurate funding to participant accounts
• Performs analysis to identify any pay discrepancies and identifies plan for their resolution
• Assist in the research, design and development of more efficient time tracking systems and General Ledger processing
• Perform reconciliation of payroll general ledger accounts each pay period, quarterly, and year end to balance.
• Design and implement management reports

MINIMUM REQUIREMENTS:

• High School Diploma, some college accounting or business courses or equivalent combination of education and work experience. CPP is a plus. UKG preferred.
• Working knowledge of current legal and tax guidelines in a multi-state payroll environment.
• 5-7 years progressive payroll experience in a multi-state payroll environment
• Proficient in the use of Microsoft Office applications, especially spreadsheets linking worksheets, creating and using formulas within worksheets, and merging Word files
• Experience working with outsourced payroll vendors (UKG PC Payroll, UKG ReportSmith -preferred).
• Strong Organizational, problem-solving, and analytical skills
• Acute attention to detail
• Ability to collect, analyze and evaluate data
