Overview
Reporting to the Director, Property Management, the Senior Property Manager is responsible for heading up the property management team for the property or portfolio as assigned and for ensuring the performance of the duties outlined below.
Responsibilities
Functional responsibilities of the Senior Property Manager include, but are not limited to the following:
Management & Operations:
- is responsible for expense control and maximizing value received for dollars spent.
- is responsible for the day-to-day operations of the property and its employees, and contractors associated with the assigned property
- coordinating the maintenance of the mechanical, electrical, plumbing and HVAC systems, as well as the materials, supplies, tools, and equipment necessary for the building operation
- is responsible for the training and mentoring of personnel. Subject to discussions with the Director, Property Management, provide input regarding hiring/firing of personnel that would report to this position
- ensures records and data pertinent to the various operations are kept in an orderly fashion
- is responsible for the preparation of premises for tenant occupancy
- is responsible for operating the properties within the approved property budget
- is responsible for the maintenance of good landlord/tenant relations. This includes regular site tours and meetings with the tenants and landlord/client
- is responsible for all aspects of purchasing, security, life safety systems, employee relations for operating personnel, utilities, capital improvements, day to day repairs and maintenance, tenant construction and any other functions that are necessary to operate and maintain within the guidelines set by the client. This includes approving all purchase orders and related invoices
- is responsible for establishing and monitoring of ongoing preventative maintenance programs in each property, constantly analyze these programs, ensuring that the programs are being carried out, and training and coaching staff in this regard where necessary
- is responsible for establishing and maintaining an ongoing system of property information so as to ensure that all relevant materials such as original drawings, specifications, value and rental values, and current physical descriptions are readily available.
- contributing and compiling a general information bank in all relative work areas
- is responsible for preparing and obtaining approval from the owners of the annual property budget, monitoring, and analyzing to ensure the budgets and contracts are on target, while maintaining the highest possible results
- is responsible for regularly inspecting the property using approved forms and standards to assure that all established programs are being carried out efficiently and properly, and to verify that proper maintenance is being done, and determine conditions which may require future action
- is responsible for generating a monthly detailed report on the activity generated for each property and to communicate objectives, problems, and innovations to the owners. The report is to discuss financial, operational, leasing and tenant matters in detail
- is responsible for assisting leasing agents in all aspects of new and renewal tenant leasing and including obtaining cost estimates for the installation of new and renewal tenants and contracting for tenant improvements. Review all offers received in detail and provide concise written recommendations to the owners/asset managers. Is responsible for the review of all leases and preparation of the Lease Summaries for input into the accounting system.
- is responsible for reviewing all tenant improvement plans, ensuring that they meet regulatory requirements and coordinating construction within the building. Prior to move in, the Property Manager is to ensure that the lease is fully executed.
- ensuring the landlords’ obligations to the tenants are satisfied in accordance with the lease documents, and to ensure that the tenants perform in accordance with the agreements to lease. Special attention is to be given to tenant insurance. This also includes timely collection of rents and the collection of arrears
- is responsible for preparing and submitting concise presentation/written reports on property management concerns/functions to Owners, Asset Managers or Senior Property Manager as required
- is responsible for inspecting the property on a regular basis and implementing programs necessary to maintain the buildings to the highest possible standard
- is responsible for familiarizing himself/herself with the terms, conditions and responsibility of the Management Agreement pertaining to the property and execute the obligations contained therein, in relation to property management
Marketing:
- Develop short and long-term marketing strategies for the properties, as required
- Co-ordinate tenant and customer relations and implement comprehensive communications strategy
- Project the properties image in line with Owner and Avison Youngs posture as a good corporate citizens and business leaders in the community
- Foster positive tenant, consumer, community, and philanthropic relationships
- Initiate market research programs and keep current on market area changes, consumer, and business trends as well as industry and competitive activities
- Plan and execute special projects as required
Specific Accountability:
The specific accountability of the position requires the incumbent to:
- Finance: assure that monthly reports and annual budgets are established and maintained, and that client reporting deadlines are met.
- Personnel: assure that manpower needs are met with the highest quality staff in the most efficient and professional manner.
- General Projects: ensure that the buildings are maintained to the standards set by Avison Young and the real estate industry at large.
Qualifications
- Minimum ten (10) years management experience in the real estate/property management area with a proven track record.
- Post-secondary education at a university or college level preferably in a real estate or business-related area.
- Any designations for programs completed in the real estate sector are an asset as would be prior 3rd party management experience.
