Senior Office Admin Assistant at 40HRS, Inc.

We are looking for an experienced, dynamic, and organized Super Admin to join our team. The role will be instrumental in providing administrative support to our Chief of Staff. Accuracy and attention to detail is key! Because of the duties performed, this is not a hybrid position. This is a full time onsite position. Starting and ending time can be flexible.

You’re Responsibilities:

• Manage and maintain executive calendars, including scheduling meetings, appointment, and travel arrangements.
• Coordinate and organize internal and external meetings, conferences, and events.
• Prepare and distribute correspondence, reports and presentations as needed.
• Maintain customer and prospect databases, ensuring data accuracy and integrity.
• Collaborate with sales and marketing teams to organize events, conferences, and promotional activities. Ability to compile, review and submit assigned expense reports
• Support in the area of facilities management
• Support the Operations department on an as needed basis (i.e., cover vacation) as a backup shipper. The ability to lift 50 lbs., bend, twist, squat, reach, and stand is needed.
• Oversee the maintenance and operations of our Professional Education Labs. Including but not limited to surgeon travel, lab inventory and setup.
• Support facility by maintaining office and snack supplies, mail distribution, greeting visitors and other basic administrative tasks.
• Maintain confidentiality and handle sensitive information with discretion.
• Assist in special project and initiatives as assigned
• Other duties as assigned
