HOW YOU MAKE AN IMPACT
Provides human resources support in the areas of recruitment, compensation, benefits, training, employee relations, and safety for Ferrotecs operations in San Jose. Exercises discretion and independent judgment in dealing with a broad range of sensitive issues and confidential information. Uses various software packages including an HRIS to create and maintain electronic files and administer benefit plans. Demonstrates strong organizational skills, attention to detail, and the ability to promote excellent internal customer satisfaction. Presents a professional appearance and demeanor. This position is based in San Jose, CA, but may require occasional travel to Livermore, CA. Reports to the Human Resources Manager.

WHAT SUCCESS LOOKS LIKE
Travels to each assigned facility on an as-needed basis in support of human resources activities.
Provides courteous and timely assistance to employees.
Uses Microsoft Office to perform administrative tasks.
Enters and updates data in a Human Resources Information System (HRIS) and generates reports from the database as required.
Maintains electronic and paper-based personnel records in a confidential and secure manner.
May provide direction to employees in lower-level administrative positions.
Conducts new-hire orientation. Answers employee questions regarding benefits options and participation. Ensures that new employees complete benefit enrollment forms within established timeframes.
Assists the Human Resources Manager with various employee meetings by coordinating meeting locations, distributing handouts, facilitating responses to employee questions, and ensuring that employees complete and return any required forms.
Calculates, prepares and tracks check requests for payments due to employees under various policies and benefit plans.
Participates in the development and maintenance of job descriptions.
Tracks employee training and obtains copies of certificates for inclusion in personnel files.
Prepares and distributes organizational announcements and notices of upcoming events.
Prepares out-processing paperwork for terminating employees.
Maintains Human Resources bulletin boards including up-to-date posting of legally required notices.
Prepares and posts, distributes, or submits various safety-related documents including but not limited to the OSHA log.
Complies with all applicable State and Federal laws and regulations. Elevates any issues to a more senior-level Human Resources Representative or to the Human Resources Manager.
Performs other human resources activities as requested.
Under the direction of the Manager of Human Resources, coordinates recruitment activities for assigned facilities including collaboration with the hiring manager to identify needs and obtain required approvals; sourcing and screening candidates; arranging interviews and related travel; performing reference checks; and processing all related paperwork. Ensures that recruitment activities support the Affirmative Action Plan and satisfy federal requirements for subcontractors (e.g. posting new jobs on the CalJobs web site).
Processes injury incident reports; directs employees to appropriate medical facilities; submits timely workers compensation claims; coordinates with the workers compensation carrier as necessary to ensure accurate and timely processing of claims.
Performs exit interviews with terminating employees.
Assists in researching information on immigration issues and provides administrative support for the visa application process.
Prepares the appropriate paperwork and discusses policy details with employees who are eligible to take various types of leave such as short-term disability, long-term disability, FMLA, bereavement, jury duty, and military leave.
Coordinates training and development activities including but not limited to required harassment training for supervisors. May participate in presentations (e.g. service awards ceremonies) and facilitate small-group meetings.
Administers human resource policies and procedures. Provides interpretation and guidance to employees as needed.
Assists managers with resolving employee issues. May act as an employee advocate.
Assists managers and supervisors with the use of Manager Access in the HRIS.
Ensures that the administration of policies and procedures complies with all applicable State and Federal laws and regulations including but not limited to wage and hour laws, EEO, FMLA, ADA, and COBRA.
Makes recommendations to resolve identified problems and to improve human resources services, communications, and cost control.
Assists in preparing the human resources department budget in support of the annual operating plan (AOP).
Participates in the development and updating of human resources policies and procedures and maintenance of the employee handbook.
With the guidance and supervision of the Manager of Human Resources, may perform internal investigations and follow-up actions.
May research benchmark wage data and make recommendations for changes to the grade/range schedule.
May serve as an HRIS administrator for assigned facilities.

WHAT YOU NEED TO BE SUCCESSFUL
- Bachelors Degree or equivalent in Human Resources or related field plus business experience and capabilities as identified below:
- 5-7 years related experience.
- Ability to maintain strict confidentiality.
- Computer literacy including basic knowledge of Microsoft Office (Word, Excel, Access, PowerPoint).
- Excellent organizational, communication, and interpersonal skills.
- Working knowledge of Federal and State employment laws and regulations.
- Ability to work independently under general supervision.
- Ability to prioritize demands, multi-task, and meet deadlines.
- Clear and effective writing skills.
- Strong computational and analytical skills.
- HRIS experience required.
PREFERRED SKILLS:
- PHR certification
