What you need to know:
Provide top-notch executive assistance to a Senior Executive, the Global Head of Innovation and Digital Business Enablement, this role would also support the directs in travel arrangements when required. This role offers a unique opportunity to gain experience alongside an impactful leader around a newly highlighted company initiatives, including GEN AI.
o Work with executive to organize, schedule and effectively prioritize daily activities.
o Support operations including calendar management, travel and expense, meeting set up, planning and overall workflow.
o Anticipate the needs of, organize, and maintain complex business calendars; prioritize and coordinate high volume and ever-changing schedules and priorities.
o Provide project coordination and planning on various cross-functional and business initiatives.
o Drive seamless communication by liaising with internal executives and external stakeholders.
o Assist as appropriate in preparation of meetings
o Coordinate all IT items ongoing, including monitoring system and application updates, arranging for help desk support and systems related matters.
o Support onboarding of new hires
o Back-up to ELT leader’s Sr Exec asst.
Qualifications:
The ideal candidate will be able to demonstrate, under minimal supervision, the ability to perform administrative duties requiring advanced skills and significant experience with attention to detail, proactivity, a positive attitude, and sophisticated stakeholder management. This includes:
o Bachelor’s Degree preferred, or equivalent work experience.
o Minimum 10 years direct experience supporting senior executives, preferably in a large, multi-national environment.
o Demonstrated interest in matters related to investor interests, and environmental, social, and governance topics in the corporate landscape.
o Demonstrated Executive Assistant experience and project coordination experience supporting senior executives with demonstrated experience working with management at all levels and across various departments and groups.
o Skilled at managing complex calendars and coordinating travel arrangements internationally and domestically.
o Must be a self-starter and take initiative, highly proactive and self-disciplined.
o Excellent verbal and written communication skills.
o Tact and good judgement in confidential situations.
o Must have strong interpersonal, organizational skills and be detail-oriented.
o Maintain discretion, project professional demeanor, and use independent judgement - especially under pressure.
o Ability to think strategically to keep the senior executive on track.
o Tech savvy such to problem solve and help the executives and team.
o Proficiency in MS Office, SAP, Concur, Ariba , Sharepoint, and Fieldglass.
