Job Summary:
Independently performs a variety of advanced, diversified, and confidential secretarial and administrative duties for a Tier Level executive which requires broad and comprehensive experience, skill, and knowledge of organization policies and practices. Ensures requests for action or information are relayed to appropriate Executive Leadership Team member for prompt resolution. Screens telephone calls and visitors, and resolves inquiries. Schedules appointments, meetings, and travel itineraries and coordinates related arrangements.
Required Skills & Experience:
-Approximately five (5) years of progressively more responsible secretarial experience, with at least two (2) years as a secretary to a senior level manager in order to acquire an advanced level of secretarial skills and overall knowledge of office procedures and protocols required at the senior management level.
-Ability to type documents with speed and accuracy and compose business correspondence.
-Basic mathematical skills necessary to work with statistical information and budgets.
-Advanced knowledge of personal computers and software including windows, word processing, spreadsheet, and graphics applications necessary to prepare complex professional documents, presentations, and reports.
-Ability to proof read for typographical and grammatical errors, and independently edits documents to ensure a professional, error free work product.
-Substantial interpersonal and communication skills necessary in order to effectively interact and mediate issues when dealing with a wide variety of individuals in the completion of the above tasks.
-Ability to handle multiple concurrent assignments.
-High level of discretion and confidentiality required.
-Ability to concentrate and pay close attention to detail up to fifty percent of work time.
Required Education:
-High School Diploma/G.E.D.
Preferred Education:
-Associates Degree in business or a secretarial field from a business school or college is preferred.
13 week contract with possibility of extension or conversion based on performance and need**
Will be supporting 4 executive level managers with support from another executive assistant. Candidate will be working on site and then transitioning into more of a hybrid schedule as they get more comfortable with facilities programs and procedures. Main responsibility will be calendar management along with some expense and payables processing. Candidate will be responsible for overseeing scheduling of committee meetings. Expense and payables processing will be checking documents for completeness and completing data entry into the system, following the items through the approvals process, and ensuring they go through the proper channels.
Candidates are required to be local as they will be needed onsite for the first part of their contract and then as needed per the executives they are supporting. Candidates must be able to function independently and be able to manage multiple tasks simultaneously while also interacting with various levels of leadership. A high level of attention to detail is required.
***REQUIRED:
High School Diploma or equivalent, mastery of basic Microsoft Office Suite,
Minimum 5 years\' experience in secretarial roles with increasing levels of responsibility and two of those years working with executive level management.
*** Preferred:
Experience with PeopleSoft program, experience with Microsoft Teams, experience in the medical office space, Associate\'s degree.
