HieFo Corporation is looking for an Senior Executive Assistant to join our company in our Alhambra office.
Job Summary
The CEO Assistant is a critical role that provides comprehensive administrative support to the Chief Executive Officer. This highly organized and detail-oriented individual will manage the CEO's calendar, travel arrangements, communications, and various projects to ensure the CEO's time is optimized and the company runs smoothly. The CEO Assistant will also serve as a liaison between the CEO and other departments, vendors, and external stakeholders, handling sensitive information with utmost confidentiality and discretion.
Key Responsibilities
- Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Serve as the primary point of contact for the CEO, screening calls, emails, and visitors.
- Conduct research on competitors, industry trends, potential partners, and funding opportunities.
- Assist with marketing content creation, including writing articles and editing photos.
- Communicate with vendors to obtain quotes and manage relationships.
- Maintain records and documentation for the company, including lab permits and scanned documents.
- Support HR tasks such as sending company emails, employee personnel record keeping as well as supporting for payroll.
- Prepare expense and reimbursement reports for the CEO.
- Provide technical support to the CEO and manage office keys and supplies.
- Pick up and send mail as needed.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Maintain internal databases and create regular reports for management.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Oversee office procedures and ensure efficient operations, including managing office supplies and equipment.
- Assist in managing special projects and initiatives as directed by the CEO.
- Conduct research and provide insights to support executive decision-making.
- Perform routine office tasks such as filing, copying, and scanning documents.
- Support the company’s ERP system, including data entry, reporting, and troubleshooting issues.
- Bachelor's degree or equivalent experience.
- 5 years of experience as a Senior Executive Assistant or in a similar role.
- Strong organizational and time management skills with the ability to prioritize tasks.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and ability to learn new software quickly.
- Knowledge of the tech and semiconductor industries preferred.
- Familiarity with ERP systems is a plus.
- Ability to maintain confidentiality and exercise discretion.
- Proactive problem-solving skills and a positive attitude.
- Willingness to take on a variety of tasks and adapt to changing priorities.
