The Senior Executive Administrator (Sr. EA) serves as a critical support role for the CEO, focusing on support, and enhancing the efficiency, of the Executive Office Team and the Board of Trustees. This position requires exceptional organizational skills, a detail-oriented mindset, and the ability to build trust across various levels of the organization. As a thought partner to the CEO, the Sr. EA will facilitate strategic initiatives, coordinate executive outreach, and communicate with stakeholders on behalf of the CEO.
Responsibilities:
PRIMARY JOB RESPONSIBILITIES:
Responsibility Area: CEO Partnership and Engagement
- Act as a confidant and advisor to the CEO, providing leadership and direction for Executive Team (ET) initiatives.
- Enhance ET communication, coordination, and accountability, ensuring alignment with the CEO's vision and priorities.
- Facilitate the preparation and follow-up of executive meetings, including the creation of agendas, minutes, and action items.
- Serve as a liaison between the CEO and other stakeholders, fostering strong relationships and maintaining trust.
- Organize high-level conferences, meetings, and special events hosted by the CEO.
- Provide oversight and guidance to projects of high importance, as directed by the CEO.
- Ensure that the CEO's decision-making processes are well-informed, considerate of all relevant information and upheld.
- Using knowledge of the President & CEO’s strategic vision, priorities, and objectives, identifies meeting agenda strategy and opportunities to increase board alignment.
- Trains and manages Executive Office administrative staff, including overseeing management of the CEO's schedule, ensuring that time is focused on strategic priorities and key relationships.
Responsibility Area: Board Management
- Serves as primary point of contact on all board matters including assistance board-level recruitment, communications, budget ownership; project management; event planning; change management and engagement; ensuring that all board matters are addressed in an appropriate and timely manner.
- Attends board meetings to take minutes and capture action items; tracks and monitors action items and works with the Executive team to ensure timely response.
- Prepares and maintains all board materials and maintains document sharing process, portals and ensures access to by-laws and other key reference documents
- Collaborates with Board Chair, CEO, CFO and General Counsel to ensure compliance with board by-laws and other legal obligations.
- Direct special projects on behalf of board leadership, including organizational integration needs and Global Communities’ Ambassadorship program.

POSITION SPECIAL RESPONSIBILITIES:
- Domestic and international travel may be required, as needed.
- Weekend and evening work will be required in preparation for and during board meetings, and other events as needed.
- Phone calls, emails and other messages will require response during non-business hours.

- Undergraduate degree in a related discipline and a minimum of four years of related work experience or a minimum of eight years of related work experience.
- experience in C-level Executive Office support role and experience in Board management and engagement. Specialty training and credentials or advanced degree may be substituted.
- Ability to independently make decisions, solve complex problems, think innovatively and creatively.
- Ability to juggle multiple tasks at once, prioritize, and meet deadlines in a fast-paced environment without direction.
- Strong interpersonal skills: ability to build trust and maintain relationships with board members who are top-level executives, politicians and ambassadors with professionalism and integrity.
- Demonstrated knowledge of proper meeting management techniques, including standard Board of Trustees’ protocol
- Expert level proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, with the ability to learn other software applications quickly.
- Excellent complex calendar management skills, including the coordination of meetings and Board related events.
- Superior organizational, planning, project management and logistical skills appropriate to the oversight of a broad range of projects and event contracts
- Strong internet research and analytical skills
- Flexibility in approach to work, with strong attention to detail
- Demonstration of strong teamwork and collaboration across all departments
- Clear and effective communication skills in English, both written & verbal
- Strong and savvy interpersonal skills, including the ability to communicate across cultures and levels within the organization.

- Experience in database management
- Ability and willingness to travel as needed.
- Ability and willingness to work weekends and evenings in preparation for and during board meetings, and other events as needed.
- Ability and willingness to answer calls/email/messages during non-business hours.

Location and Work Schedule
This selected candidate can be based in San Diego, CA or Silver Spring, MD. Candidates must be authorized to work in their preferred country without any restriction.
This role is on a hybrid/telework schedule. The selected candidate is expected to work at least twice as week (Tuesday, Wednesday, or Thursday) from either our San Diego or Silver Spring office and the remainder of the week from an approved remote location.
Salary and Compensation
The estimated salary for this position is between 75,125-110,000. Final salary will be based on several factors including qualifications, geographic location, experience, and internal equity. Global Communities provides a comprehensive benefits package; please note that this position is not eligible for allowances.
