Overview
Credence Management Solutions, LLC (Credence) is seeking an Administrative Professional in support of Senior Leadership for the United States Space Force (USSF), Space Systems Command (SSC) Command Staff.
This position is based on site at Los Angeles, Space Force Base CA.
Salary Range
Full salary range for this position is $132,000 to $144,000 per year, with the starting salary determined based on candidate’s knowledge, skills, experience, as well as budget availability.
Responsibilities include, but are not limited to the duties listed below
- Lead them planning, coordinating, participation and execution of international partner visits, key leader engagements (KLE), and conferences.
- Prepare senior leader’s products in preparation of the engagement (talking points, white papers, speeches); interact with applicable points of contact to prepare the full itinerary, prepare agendas, schedule events, arrange escorts, coordinate with protocol, book conference rooms, prepare name plates/tags, organize food delivery/set up, and make real-time adjustments and work closely with security.
- Prepare and distribute KLE and international partner visits, meeting agendas, meeting presentations, meeting minutes, and actions items to all key stakeholders. The contractor will run display slides for meetings up to secret cleared.
- Manage strategic calendars to implement operating rhythms for the organization and to proactively ensure proper preparation for SSC/IA personnel.
- Draft and disseminate international partner and key leader engagements calendar invitations.
- Draft and maintain a strategic KLE and international partners product outlining all engagements for both internal and external tracking SSC/IA tracking, as well as maintaining the long-range scheduling calendar.
- Receive, control, and manage all Task Management Tool (TMT) taskers internal and external to SSC/IA requiring action or coordination.
- Review all TMT tasks, assign them to the appropriate SSC/IA team and establish internal suspense dates for the tasks; and provide guidance on the level of final coordination. The contractor shall also work with SSC/IA leadership to write TMT tasks to other SSC organizations.
- Review all completed products for format, quality task deliverable construction, completeness, and utilize critical thinking to ensure tasked requirements are accomplished for government review.
- Conduct trip planning and associated administrative support tasks for SSC/IA Leadership including:
- Conduct trip planning and associated administrative support tasks necessary to create official trip itineraries for SSC/IA trips and visits, to include securing travel arrangements (if visit requires travel), identifying specific dress requirements, creating an escort plan, a communication plan, and gathering and documenting POC phone and email addresses.
- For each trip itinerary, coordinate with internal and external protocol, public affairs, security, and other special staff offices to ensure senior staff trips are efficient and accomplish mission objectives.
- For each trip itinerary, assist with proposing agenda items as requested to reflect the topics/issues/information that would be of most value to the trip.
- For each trip itinerary, ensure appropriate read-ahead and biographies are sent in advance to applicable offices for the visit.
- When tasked, act as the action officer for scheduling meetings and engagements for the trip.
- Book Government travel through the Defense Travel System and work with the travel agency component to resolve issues or discrepancies with the Government travel system.
- Manage SSC/IA organizational workflow on both SIPRnet and NIPRnet.
- Provide support in the tracking of personnel and staffing needs within the directorate and assisting in the preparation of manning documents.
- Gather information and process Aircraft and Personnel Automated Clearance Systems (APACS) submissions.
- Help prepare packages for awards, decorations, and evaluations as directed by the government.
- Create training products and conduct training as directed by the government.
Education, Requirements and Qualifications
- An active Secret security clearance is required.
- Master's degree preferred.
- 10 years demonstrated experience in related field.
- Very knowledgeable of higher government headquarters, Air Force and Space Force, processes, and procedures as it relates to their functional responsibility.
- Strong writing, verbal, and interpersonal communication skills with the ability to work closely with teammates and customers across internal and external organizations.
- Ability to communicate both orally and in writing clearly, concisely, and with technical accuracy.
- Experienced utilizing Microsoft tools
- Experienced using TMT helpful.
Working Conditions and Physical Requirements
Ability to lift in excess of 25 lbs, standing for long periods of time, traveling across base regularly, transporting equipment, etc.
