About the Job
As a Senior Executive Administrative Assistant in Chase Card and Connected Commerce, you will strategically support the Chief Executive Officer (CEO) with a variety of administrative tasks and key projects with various executive level internal partners. The CEO is based in New York, NY and leads a team of eight directs and an organization of 6,800 employees. You will possess strong attention to detail, quality focus, high energy, a positive and collaborative attitude, and flexibility in a high-paced deadline and outcome driven organization. You will need to work well in a team environment and be able to represent the Chase Card and Connected Commerce CEO and team with professional courtesy and maturity. You must lead all initiatives from conception to completion and work behind the scenes to seamlessly execute with excellence on all deliverables.
Job responsibilities:
- Manage organization and prioritization of the CEO's complex and detailed calendar, inclusive of the coordination and logistics of both internal and external meetings
- Arrange and coordinate complicated domestic and international travel
- Manage expenses: process invoices and Travel & Expense claims for CEO and team members strictly adhering to firm policies and given timelines; act as a subject matter expert for policies and procedures
- Organize all planning & executing components for onsite and offsite events and conferences, including catering, transportation and technology
- Manage incoming calls and determine level of priority while using caution in dispensing information
- Assist with staff onboarding and off-boarding, including equipment requests and setup, system and building access and seating arrangements
- Lead and coordinate in ad hoc projects as requested (e.g. editing presentations and spreadsheets, printing and distributing meeting materials (email/Boardroom), maintain current team organizational charts and Executive Bio's for the CEO
Required qualifications, capabilities, and skills:
- At least 5 years of administrative experience
- Tact and good judgment in confidential situations and proven experience interacting with senior management
- Effective interpersonal and communication skills
- Work cooperatively with wider administrative assistants team, in positive partnership to back up each other
- Superior written communication skills
- Produce high quality emails and messages to individuals and teams at all levels of the organization with strong attention to detail
- Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management
- High attention to detail and quality focus
- Ability to manage competing priorities and work independently
- Positive and collaborative attitude in a fast-paced environment
- Strong PC skills (proficient knowledge of MS Outlook, Word, PowerPoint & Excel, Zoom, Access Request tools, Event Management tools)
Preferred qualifications, capabilities, and skills:
- Experience supporting at the Managing Director level (or equivalent) or above
- College degree is a plus
