Position Summary
Carole Robertson Center for Learning (the Center) seeks to hire a dedicated and process-minded Senior Director of Operations. Reporting to the Vice President of People & Culture, the Senior Director of Operations serves as a key partner to colleagues in managing multiple aspects of organizational operations, including facilities projects, procurement and inventory, risk management, and information technology management. The Senior Director will perform highly diverse administrative and project-focused duties, many of which may involve high-level contacts and visibility to highly confidential material, necessitating the use of tact, diplomacy, discretion, and judgment. The candidate must have proven skills in managing complex projects and timelines, ability to work in a fast-paced environment, 2 and a high level of comfort working with diverse groups of people, including executive leadership, board members, frontline staff, and community members.
Major Responsibilities and Key Tasks
LEADERSHIP & ADMINISTRATION
- Develop or enhance, implement, and enforce Operations policies and procedures to improve the overall effectiveness of the organization including systems to support compliance with all federal, state, and local codes and grants.
- Project, monitor, adjust and oversee the Center's annual facility and capital budget in partnership with Facilities Managers.
- Work with finance staff and other appropriate departments on coordination and management of ongoing capital and other major facility maintenance and repair project budgets.
- Collaborate with external consultants to Manage the Center's facilities-related projects, including, as appropriate, the RFP and RFQ process, vendor management, coordination of design selection process, bidding/negotiating, and supervising to completion.
INFORMATION TECHNOLOGY
- Manage the day-to-day relationship and provide oversight and management of external IT service providers.
- Working with the leadership team, ensure that information and technology systems are positioned to deliver solutions which meet the organization's needs and align with strategic initiatives.
- Identify areas for adoption of new technology tools and best practices, while improving upon existing systems.
- Project manage a portfolio of core tech infrastructure, contracts, vendor and consultant relationships.
FACILITY OPERATIONS & PROJECTS
- Serve as the project manager (or co-project manager depending on site and scope) for major renovations and/or facility acquisitions/relocations, for the Center's owned and leased properties.
- Establish systems, procedures and processes for optimal facilities management where Facilities team can most effectively support Programs & Impact.
- Ensure that preventative maintenance and risk management programs are in place, in conjunction with on-site Facilities staff.
- Make periodic assessments of the cost-effectiveness and functions of building and service contractors and make short- and long-term cost-effective recommendations for emergency and deferred maintenance.
- Develop and implement short and long-term space solutions to maximize usable spaces in all facilities – especially in support of administrative team hybrid roles and staff that travel from site to site; in conjunction with Programs & Impact
PROCUREMENT & INVENTORY
- For building-related supplies, oversee the procedures and processes for planning, managing/tracking inventory, monitoring and ordering.
- Collaborate with Finance to ensure procurement processes are in line with fiscal procedures and policies.
- Own the Center's inventory management system and collaborate with other departments as needed to keep this active and up-to-date.
- Continue to refine and optimize inventory tracking; with particular focus on supporting programmatic needs as it relates to grants compliance.
- Create and implement a supplier diversity program for the Center.
RISK MANAGEMENT, SAFETY & SECURITY (shared leadership and oversight)
- Develop or enhance, implement, and enforce risk management policies and procedures to ensure limited liabilities for the Center.
- Collaborate with Site Directors to ensure ongoing and systematic emergency preparedness training and drills are taking place routinely for the Center.
- Ensure proper functioning of all security and safety systems, alarms and warning alerts, including training on and compliance with standard operating procedures for response to alarms and emergency situations.
- Own digital security policy, processes, staff training, and incident response for the organization. Work closely with leadership, on the creation and implementation of an organization-wide Enterprise Risk Management plan.

Required Knowledge, Skills, and Abilities
- Minimum Bachelor's Degree from accredited college/university in General Management, Business Administration or related field, or nonprofit management.
- At least 8 years of progressive leadership in operations and/or facilities management with buildings and budgets of similar scope.
- Thorough knowledge of facilities management; building engineering background a plus.
- Expertise in technology, including Microsoft Office Suite.
- Experience in leading in-house technology teams and/or overseeing outsourced technology services preferred.
