The Position
The Senior Associate position will manage all aspects including analysis, reporting and operational support of budget, contract, invoice management and ESG initiatives to the meeting, events, travel and fleet team. The role will perform key functions that will enable the meeting, events and travel solutions team to monitor progress towards organizational goals that include fiscal and environmental responsibility, supplier management and contractual support.
Relationships
This role reports to the Snr Director of Meeting, Events and Travel Solutions. Day to day interaction with all levels within the Meetings, Events, Travel, Fleet and Expense Operations team. This role also interacts with the wider NBS Team, Finance and Legal. Externally, interacts with suppliers and agencies. For some projects, interactions with Global leads maybe required. This is an individual contributor role.
Essential Functions
- The Senior Associate will and provide analysis, insights, trends and opportunities of meetings, fleet, travel and expense data to the team. This role will be involved in budget, contract, invoice management as well analytics, reporting and operational support to the team. This role should provide recommendations to improve efficiency and compliance, and collaborate with internal and external stakeholders, to support the team’s objectives. This role may also be assigned special projects as required
- Contract Management: Responsible for the management and coordination of all contracts (MSA, SOWs, etc.) requests from inception to execution of the request (PO generation) for stakeholders
- Coordinate and communicate status of contracting, invoices etc. with meetings, event, travel and expense vendors, partners, and service providers as required
- Budget Management: Facilitate monthly budget meetings to provide budget tracking, analysis, forecasting, variance commentary, and phasing adjustments – in line and global launch office (if applicable), AB/RE Cycle Management
- Finances: Participate in month, quarter & year-end finance activities including reconciliation: Interfaces with Functional Area to gain agreement as to supporting detail with respect to ET Budget review corrective actions and ensures appropriate systems are updated and reconciled
- Invoice Management: Responsible for all invoices, pre-pays, intercompany chargebacks, change orders, accruals, reconciliations etc. – in line and global launch office (if applicable)
- Analytics and Reporting: Routinely communicates Meetings and Travel Solutions consolidated financial and operational performance trends, historical and forecasted, using appropriate metrics including and not limited to Sustainability (CO2) reporting requirements for Travel and Fleet. Measure and monitors trends, resulting implications, key actions, and strategic implications. Reports on variances and risk
- Using TMC, Credit Card and Expense data, manage compliance to policy, provide insights to the travel team as well as developing scorecards
- Operational Support Day-to-day customer service to our stakeholders, leaders, fleet drivers and travellers
- Manage and maintain the travel and expense system and tools
- Conduct audits and reviews of sustainability, flee, travel and expense transactions and records and ensure accuracy and completeness. Provides training and guidance to associates and suppliers on the related SOPs, policy and procedures to drive compliance
- Stay updated on the latest trends and developments in the meetings, travel and expense industry. In alignment with the department leads evaluate and implement new strategies and solutions
Physical Requirements
1 to 2 trips a year international travel maybe required. Approximately _5_% overnight travel.
Qualifications
- Bachelor’s degree preferred; relevant experience may be substituted for degree when appropriate
- Experience Level: At least 3 – 4 years of experience in travel and expense management, and analysis
- Proficient in travel and expense systems and tools, such as Concur, SAP, or Oracle
- Familiarity with Coupa a nice to have
- Proficient in MS suite of tool (word, excel, PPT, BI etc)
- Strong communication, presentation, and interpersonal skills
- Excellent analytical, problem-solving, and decision-making skills
- Ability to work independently and collaboratively and manage multiple projects and deadlines
- Attention to detail, accuracy, and quality
