HSC Health is the academic clinical practice for the Health Science Center. Focused on improving health outcomes to build a healthier community. HSC Health primary and multispecialty care clinics are located on the HSC campus in Fort Worth. Out care teams extend to local hospitals, surgery centers, and mobile and in-home care. HSC Health's interprofessional teams work collaboratively to achieve an optimized treatment plan tailored to the individual patient. Physicians, nurse practitioners, physician assistants, physical therapists, pharmacists, social workers, psychologists, specialized technicians, and nurses work together while intentionally integrating healthcare students, residents, and fellows to deliver care to our community.
Position Overview
The Senior Administrative Coordinator will provide high level administrative support to the clinic operations manager and medical director within the Family Medicine clinic and assist with Family Medicine Residency tasks.
Minimum Qualifications
Bachelor's degree and two (2) years' of related experience; or equivalent combination of education and experience.
Knowledge, Skills and Abilities
Exceptional communication and interpersonal skills. Advanced written communication skills. Advanced Microsoft Office skills. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships.

Job Duties:
- Prepare invoices, reports, memos, letters, schedules, and other documents, using word processing, spreadsheet, database, or presentation software.
- Coordinate communications with outside organizations, applicants, and internal team members including facility and IT requests.
- Prepare and review budget and inventory reports, focusing on office and medical supplies for the clinic.
- Assist with onboarding and offboarding of employees.
- Assist with patient panel management for the family medicine residency program and family medicine clinicians.
- Run and review reports related to clinic operations and assist the manager with gathering and distributing documents.
- Assist clinic operations manager and medical director with managing meetings which may include preparing agendas, making arrangements, documenting and distributing meeting minutes and coordinating lunch.
- Maintain records for medical equipment and repairs, technology, and other related records within the clinic.
- Assisting the clinic manager and medical director with project management which may include gathering data, reviewing information, creating documents, keeping track of project goals, and helping the team meet deadlines.
- Assisting the clinic manager and medical director with tasks related to personnel oversight which may include time approval delegation.
- Performs other duties as assigned to meet the ongoing needs of the department.
