About the Job
We are currently seeking a Senior Administrative Associate to join our national industrial property management team. WHAT YOU'LL BE DOING This position will report directly to the president of U.S. industrial property management and support all administrative aspects for the national team. The right candidate will be proficient in Excel with strong organizational skills and a significant ability to multi-task. This person will have several priorities - supporting the industrial property management team, including our business development and project-oriented initiatives. The role will be instrumental in the development and implementation of best in class industrial property management practices. Customer service skills are integral to this position. Responsibilities: Provide administrative support to the national IPM team, which includes four executives Develop and maintain Excel spreadsheets, including client lists, underwriting, significant data within a tracker system and any other requirements that may be needed. Strong Excel skills required Work with the team to track and maintain all data aspects associated with industrial property management, including national client list and maintenance of national audit data Support national proposal preparation by updating and creating proposals and presentations as required for business development activities Assist in the review and edit national manuals and handbooks in MS Word Assist with any large data entry projects using firm's platform tools (i.e. SharePoint, Prism etc.) Organize and coordinate internal meeting events (i.e. name tags, agenda, logistics, catering, etc.) Manage and maintain calendars, email and travel arrangements Manage travel, car arrangements, hotel bookings as needed by leadership team Prepare expense reports in firm's software. Submit expense reports, track status, reconcile corporate charge card statements and respond to any inquiries Use JLL platforms tools to manage the administrative functions required by the national team Process incoming/outgoing invoices with accounting and provide updates to clients/vendors Always maintain a professional attitude and comply with company's policies and dress code Demonstrate prompt and consistent attendance Use good business judgment when responding to needs of clients, both internally and externally Excellent customer service internally with property managers and stakeholders as well as externally with clients Support IPM leaders with ad-hoc requests WHAT WILL YOU BRING TO THE TABLE Education, experience and position requirements: Bachelor's degree is preferred. (3+) years of experience in a similar role is required. Commercial real estate experience is a plus. Advanced oral and written communication skills. Strong organization and time management skills. Excellence in MS Office, specifically in Excel and PowerPoint. Adobe InDesign experience a plus but not required. Self-Starter - able to start and complete projects independently. Written/Oral communications - ability to speak and write clearly and concisely, get messages across that have the desired effect. Attention to detail Adaptability - maintain effectiveness in varying environments, tasks and responsibilities, or with various types of people. Ability to multi-task and work in a fast-paced environment. Planning and organizing - establish course of action to accomplish goals and evaluates results, develops schedules and task/people assignments, can orchestrate multiple activities at once to accomplish goals, uses resources effectively and efficiently.
