Job Description:
The Senior Administrative Assistant/Executive Secretary will provide comprehensive administrative support to the Executive Vice President and Chief Financial Officer (EVP, CFO). This role requires a highly organized and detail-oriented professional capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities:
- Calendar Management: Organize and prioritize the EVP, CFO’s calendar, resolving conflicts and ensuring efficient scheduling.
- Travel Coordination: Handle all travel arrangements, including flights, lodging, transportation, and expense reporting.
- Meeting Support: Schedule and prepare for meetings, including Teams/Zoom setup, note-taking, and follow-ups.
- Documentation & Communication: Draft and proofread correspondence, manage internal communications, and ensure timely responses.
- Event Coordination: Assist in planning small- and large-scale meetings and events, including logistics and material preparation.
- Administrative Duties: Perform general office tasks such as data entry, mail distribution, and invoice processing.
- Project Assistance: Support special projects and committee activities alongside the EVP, CFO.
Qualifications:
- Experience: 5+ years of senior-level administrative support experience.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Soft Skills: Mission-driven, organized, self-motivated, and professional in all communications.
- Education: Bachelor’s degree preferred but not required.
- Additional: Strong interpersonal skills, ability to manage complex projects, and experience coordinating virtual meetings.
