We are seeking a skilled and personable Administrative Assistant to join our dynamic team. In this pivotal role, you will be responsible for providing exceptional support to our professionals, ensuring seamless operations, and creating a welcoming environment for our visitors and employees.
**Key Responsibilities:**
- Collaborate with the administrative team to deliver outstanding daily support services to our business.
- Serve as a backup for our main reception area, warmly greeting visitors and employees, and directing them to their destinations.
- Handle incoming inquiries with professionalism and promptly direct them to the appropriate departments.
- Register and confirm expected visitors and guests with building security, ensuring a smooth and secure experience.
- Manage the procurement of office supplies, café supplies, equipment toner, printer paper, shipping materials, and other essential items for office and remote employees.
- Review, code, and approve expenses and expense reports using our expense management system.
- Coordinate meetings, including managing conference room calendars, ordering catering, setting up rooms, and interacting with visitors and clients.
- Ensure all floors are well-stocked with snacks, beverages, and general office supplies, creating a welcoming and productive workspace.
- Retrieve, scan, and distribute incoming and outgoing mail and packages daily, ensuring efficient communication and delivery.
- Manage various daily reports and administrative tasks.
- Assist in organizing company-wide events, including weekly office lunches and social gatherings, fostering a positive and inclusive culture.
- Coordinate and set up Zoom meetings, managing them from start to finish with professionalism and attention to detail.
- Handle general administrative duties such as copying, filing, faxing, printing, binding, typing, and assisting with ad-hoc projects.
- Maintain a positive and professional demeanor that reflects our organization's values and standards.
- Continuously learn and adapt to our firm's procedures, processes, and techniques, ensuring optimal alignment with our overarching goals and objectives.
**Desired Qualifications:**
- Bachelor's degree or equivalent work experience.
- 2+ years of administrative experience, preferably within the financial services or legal sectors.
- Excellent organizational, written, and verbal communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- A friendly, approachable attitude and a passion for working in a team environment.
- Strong ability to multitask and adapt to changing priorities with ease.
