Role - Senior Administrative Assistant and Project Coordinator
Rate - $48.12/HR on W2 (OT past 40 hours = $72.18/HR)
Duration - 12 Month Assignment (possible extension)
Location - Long Island City Queens NYC 11101
Project Coordinator
Client Ventures' mission is to drive customer-focused innovation that delivers new growth and value for Client. The team is comprised of professionals with the diverse experiences and skill sets needed to help establish Client as an innovation leader. Client Ventures is headquartered in Silicon Valley with offices in New York.
Position Summary:
The Innovation Project Coordinator is a member of Client Ventures' team playing a project coordinator role for this newly launched program.
The Innovation program:
• The recently developed program drives the incubation of new businesses through an intensive system and methodology designed to generate new organic growth for Client. The system incorporates the principles of corporate entrepreneurship including a disciplined Venture Capital-style portfolio management model and the rigorous experimentation and validation of customer solutions in order to launch New-to-Client and New-to-World products and services.
• This program is a collaborative effort across Client working in partnership with various Client businesses and Global Talent in order to identify and sponsor the best projects and teams.
The Senior Administrative Assistant and Project Coordinator will be responsible for the day-to-day administration and coordination responsibilities of the program.
Primary responsibilities:
Provide daily administrative assistance and project coordination support to the program team (e.g., heavy calendaring with internal business units and external partners, day-to-day management, handle incoming calls and requests, as well as prepare status reports and program updates)
Coordinate all aspects of Growth Board monthly and quarterly meetings including scheduling, venue and room reservations, agenda documents, invitations, meeting logistics (venue set up, food/beverage coordination and supplies) and record meeting minutes
Coordinate the communication of information to Client business partners
Schedule working sessions for project teams and coordinate agendas and follow-ups
Organize and secure highly confidential company information
Assist with creation/modification of Meeting Agendas, Schedule Tracking, and various other documents in PowerPoint, Excel and Microsoft Word.
Coordinate frequent travel arrangements - both international and domestic
Prepare, reconcile, and track expense reports through T&E system and order supplies and process invoices through P2P system for related activities
Education:
Bachelor's Degree or equivalent
Required Skills:
At least 5 years prior experience as a Senior Administrative Assistant and Project Coordinator required
Strong organization skills and attention to detail
Excellent verbal and written communication, collaboration and influencing skills
Excellent analytical and problem solving skills
Proficient with Microsoft applications including Outlook, PowerPoint, Word and Excel
Key Competencies:
