Senior Administrative Assistant/ Office Manager - RMF Engineering, Inc

RMF Engineering Inc. has an immediate need for an experienced Senior Administrative Assistant to support our Baltimore, MD production staff and senior management. Strong oral and written communication skills are important, as are computer skills, accuracy and attention to detail, good people skills, ability to work within a team environment and effectively able to prioritize and manage multiple tasks.

(Salary Range: $55,000 - $70,000 annually. RMF considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions)

Position Responsibilities include:

• Updating specifications, proposals, and reports for team of professional consulting engineers.
• Processing Construction Administration documents (submittals, RFIs, etc.) in Newforma Project Management Software.
• Manipulating existing PDFs, including extracting pages as well as combining multiple file formats into PDFs.
• Independently perform confidential office/administative duties with speed and accuracy.
• Representing the company in a positive, friendly, and professional manner to both internal and external contacts; receive and direct visitors in a professional manner.
• Creating, updating, and submitting expense reports in a timely manner, when requested.
• Preparing and editing documents in Microsoft Office Applications (PowerPoint, Word, and Excel) as requested.
• Copying/distributing documents as needed; open and distribute mail; process overnight deliveries.
• Making travel arrangements (domestic & international) within company policy for assigned leaders and support for visitors; as needed.
• Planning office events and employee engagement activities, as needed.
• Collaborate with other administrative & engineering team members in other offices to identify "best practices" and a consistent approach to cross department functions.
  

Requirements

Required Qualifications:

• Bachelor's degree preferred in Business, Communications, English or the equivalent combination of education and relevant experience
• Proven experience of at least 5 years in administrative matters.
• Excellent organizational skills with the ability to adapt to change quickly and multi-task assignments.
• Ability to work independently in a fast-paced environment.
• Ability to work our standard business hours of 7:30 am- 4:30 pm. (On occasion, workload and deadline may require flexibility.)
• Excellent communication skills.
• Proven understanding of Microsoft applications (Word, Powerpoint, Excel).
• Strong problem analysis and problem solving skills.
• Excellemt verbal and written communication skills.

Preferred Qualifications:

• Experience with the Newforma Project Management Software
• Preference will be given to those with previous administrative experience in the A/E/C (Architectural/Engineering/Construction), and Contractor fields.
