Position Title: Senior Administrative Assistant
Location: New York, NY
Payrate : $30- $35/hr

The Senior Administrative Assistant will provide critical administrative support to two Vice Presidents and contribute to the smooth functioning of the Food and Beverage Design Innovation Center. This role supports over 100 designers, requiring strong organizational, coordination, and communication skills to navigate a dynamic, fast-paced environment effectively.

• Manage and prioritize complex calendar schedules for VPs, coordinating with peer admins and stakeholders.
• Prepare and submit timely Travel & Entertainment expense reports.
• Process P-Card and invoices with accuracy.

• Arrange logistics for internal and external meetings, including venue negotiations, AV, catering, and travel arrangements.
• Provide auxiliary meeting support for Design Leadership.
• Plan and execute internal meetings and corporate events.

• Maintain office operations, including security badge access and quarterly billing submissions via SAP.
• Serve as the primary onsite contact for visitors and provide support to traveling executives.

• Actively participate in culture events and initiatives to promote a cohesive and vibrant team environment.

• Prepare professional materials using Excel and PowerPoint.
• Handle sensitive information with discretion and integrity.

• Experience: 5+ years as an Executive Assistant or in a similar role.
• Education: High school diploma required; Associate s/Bachelor s degree preferred.
• Skills:

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
