Role Overview
The Senior Administrative Assistant will provide comprehensive administrative support to the Chief Investment Officers and Investment Team. This role requires a self-motivated individual with exceptional attention to detail, a strong focus on quality, high energy, and the flexibility to thrive in a fast-paced, deadline-driven organization. They must possess a proactive nature, have the ability to exercise strong "figure it out skills. This person must also have excellent time management and organizational abilities. Ultimately, the expectation is to seamlessly support the Chief Investment Officer and Investment Team to ensure that daily operations are smooth and effective.

Role Overview

Responsibilities
- Assist CIO and Investment Team
- Provide administrative assistance and support to CIO and Investment Team.
- Manage multiple active calendars across the team.
- Coordinate meetings and conference rooms; order any necessary food/catering.
- Coordinate travel arrangements and process expense reports.
- Prepare pertinent reports for weekly/monthly/quarterly meetings.
- Manage excel spreadsheets, track, and input data, as well as tracking research and assisting with communication with investors and partners.
- Manage New Investment Process & KYC
- Coordinate with legal counsel, CIO, and CFO to complete execution of subscription documents and other legal materials (including real estate).
- Manage investor/vendor relationships.
- Create and circulate investment checklists to appropriate parties.
- Provide Assistance to Accounting Team
- Complete new bank account forms, as needed.
- Enter new entities, vendors, subsidiaries, and accounts into NetSuite.
- Complete new custodian and bank account forms.
- Compile, print, and bind quarterly board materials.
- Assist CFO with corporate insurance renewals.
- Create Audit confirmation letters
- General Administrative Support
- Back up support to other Admin Team members as needed.
- Register as ERT Team Member, Notary Public, & Fire Warden
- Additional Projects/Duties that are assigned as needed.
What You'll Bring
- Bachelor's degree
- 4+ years of administrative experience in a corporate environment
- Self-motivated and accountable individual who is constantly looking to improve
- Excellent organizational skills and the ability to effectively handle multiple priorities with a professional attitude
- Demonstrate outstanding written and verbal communication skills with the ability to produce high quality emails and messages to individuals at all levels of the organization
- Strong ability to multi-task and solve problems quickly, resourcefully, and competently
- Strong time management, sound judgment, good prioritizing, and a team player
- Willing to "lean in with a "no task is too small attitude
- Tech Guru (specifically, Microsoft Suite)
- Strong communication and time-management skills
- Uncompromised reputation for discretion, honesty, and personal integrity
