We are in search of a Senior Administrative Assistant to work on our Client Services Team in any of our 10 office locations across Virginia and Maryland. This role will focus on technical writing and requires strong experience in Microsoft Word and Excel. The Senior Administrative Assistant will mainly work with the Audit and Assurance Service Line of the firm as a “Power User” for the Client Services Team and will manage administrative, operational and technical workflow to maximize productivity and efficiency across the firm.
Core Responsibilities
- Provide detailed checking of client deliverables (financial statements, management reports, representation letters, etc.) for grammar, spelling, readability, consistency, formatting, etc.
- Prepare arrangement, planning letters, and other deliverables as required
- Analyze client deliverables against template(s) to identify any inconsistencies
- Create, edit and format Microsoft Word and Excel documents at an intermediate to expert level
- Create, edit and format documents in Adobe (ability to create forms in Adobe is a plus)
- Footing and tying financial statements
- Manage and prioritize workload with minimal supervision using an electronic inventory “pool” that consists of jobs from offices firm-wide
- Communicate with coworkers (firm-wide) regarding workload and job sharing
- Run and maintain reports
- Assist colleagues and partners with projects in various programs (Microsoft Suite, Practice Engine, iChannel, and Caseware)
- Provide backup to other Client Services Team Members as needed such as answer phones, ordering supplies, maintaining office equipment, general housekeeping, process outgoing mail packages, covering the front desk, process tax returns, etc.
- Other duties as assigned
Job Requirements
- Bachelor’s Degree, major in English, History, or related field preferred
- 3+ years' worth of relevant experience
- Intermediate to advanced MS Office skills, specifically in Microsoft Word and Excel
- Intermediate skills in Adobe and Microsoft PowerPoint and Outlook
- Advanced oral and written skills and the ability to excel at details, multi-tasking and working under pressure
- Effective organization and time management skills
- Can work independently and manage multiple tasks with minimum supervision under a system of discipline and accountability
- Effectively collaborate and share work with others
- Successfully work in a high-paced environment with multiple interruptions
- Ability to work in a deadline-driven environment
- Ability to work overtime during busy seasons, when and if required
- Fluent in speaking, reading and writing the English language
- Ability to lift/carry cases and cartons of supplies
