Senior Administrative Assistant - Vista Maria

TASKS OF THE POSITION

•Support senior managers and executives with daily clerical duties.

•Plan meetings and take detailed minutes.

•Manage phone calls, provide information, and connect callers to appropriate people.

•Schedule appointments, and update calendars.

•Compose and type regular correspondence, like invitations, and informative materials.

•Develop and maintain a filing system.

•Create spreadsheets, manage databases, and presentations.

•Greet and provide general support to visitors.

•Purchasing stationary and other office supplies as these become depleted.

•Develop, implement, and improve office policies and procedures.

•Representing the organization during meetings with stakeholders.

•Preparing and/or editing documents, such as expense reports, memos, and invoices.

•Manages highly confidential information.

•Interacts with the board, and assists with board-related meetings.

•Covering or collaborating with the Executive Assistant to the CEO.

KNOWLEDGE/SKILLS/ABILITIES

•Proven work experience as a senior administrative assistant, or executive administrative assistant.

•In-depth understanding of office management and daily operations.

•Hands-on experience with MS Office.

•The ability to create spreadsheets, data reports, etc. as needed

•Working knowledge of office equipment, like printers and fax machines.

•Excellent verbal and written communication skills.

•Strong organizational and time-management skills.

•Ability to prioritize tasks.

QUALIFICATION (EDUCATION / TRAINING)

Required:

•High school diploma

•Three+ years of previous experience working in a comparable position.
