Job Summary -
The R/B & A/P Associate, under general supervision, is responsible for providing end-to-end support for the Rating/Billing & Settlement/Accounts Payable/Procure to pay process. Responsibilities include Billing customers and data entry of invoices and trip related documents into a TMS (Transportation Management System), handling correspondence from Independent Contractors and drivers, customers, co-workers and other MTI employees, inquiring on billing and payment information, exception handling and resolution.
Primary Duties and Responsibilities
- Open mail, monitor e-mails, and scan and index trip sheets, BOLs and other documents into the McLeod imaging
- Accounts payable procedures and Independent Contractor settlements handling require an understanding of the settlement process and strong problem-solving Working with Independent Contractors regarding Settlement Pay, Escrows, Advances, Loans and deductions from settlements.
- Answer customer and Independent Contractor inquiries
- Monitor new address changes
- Print/Send invoices and print registers daily
- Initiate weekly payments/reports
- Orientation of new Independent Contractors regarding the settlement process and entry of pertinent information into the computer system to ensure proper settlement payments and 1099 information.
- Tracking and payment of Independent Contractor sign-on and mileage bonuses paid
- Fuel tax mileage and fuel purchase review and deductions monthly
- Answer the main phone lines and direct calls as needed
- Special instruction processing
- Assist in monitoring and developing performance measures
- Suggest and help implement continuous improvement projects
- Work in a team environment coordinating work requirements and schedules with other team members
OE/Lean
- Actively participates in the implementation of sustainable improvement processes, such as 5S, Kaizen, Daily Management Control, Standard Work and Problem Solving.
Qualifications:
Education: High School equivalent
Knowledge, Skills & Abilities: Must have at least 3 years’ experience in an accounting/accounts payable environment. Prior experience with an electronic matching system is preferred. Individual must have strong interpersonal, organizational and analytical skills. Must have the ability to troubleshoot and analyze invoice/payment issues along with excellent computer skills including Microsoft Word and Excel, mathematical aptitude, and record keeping experience. Knowledge of McLeod Software is preferred. Excellent oral and written communication skills required. Previous experience with Billing & Accounts Payable functions for an industrial or manufacturing organization desired.
Travel: Very little if any travel required
Working Conditions: While performing the duties of this job, the employee is typically required to regularly conduct work in a controlled office environment, moving around the office as needed, sitting at a desk, using office equipment, including but not limited to a personal computer, fax machine, copier and telephone, read, write, listen, speak, and understand English, have the ability to work independently, be dependable and maintain confidential information, integrity and composure at all times.

Work Hours: The schedule is typically the day shift. However, employee must have ability to work the shift/number of hours in which duties need to be accomplished, including overtime, holidays and weekends, as necessary.
Safety Training: A new employee hired to perform the duties of this position is required to be provided New Employee Training by a qualified individual or through the online training system. Additionally, an employee must be provided further training if a job duty/task has changes that will affect the health and safety aspects of that employee’s position.
Additional refresher safety training will be required as management deems appropriate or as dictated by government regulations.
