Job Description:
The Secretary to the Assistant Superintendent plays a vital role in ensuring the seamless operation of administrative functions within the educational institution. This multifaceted position involves providing comprehensive support to the Assistant Superintendent, encompassing tasks such as managing calendars, scheduling meetings, and screening phone calls. Beyond traditional secretarial duties, the role extends to overseeing facilities and operations, coordinating transportation logistics, and handling various financial responsibilities, including requisitions, vendor payments, and auditing payroll. The Secretary is a key liaison for communication and coordination, contributing to the overall efficiency of the educational institution by managing diverse administrative tasks and supporting the Assistant Superintendent in their crucial responsibilities. Supervision may be exercised over a small number of employees assisting with the business and operations work. Does related work as required.
Required Knowledge, Skills, Abilities, and Attributes:
- Good knowledge of office procedures, equipment, and business
- Proficient understanding of computer software applications for producing correspondence, reports, tables, charts, and file storage, specifically Microsoft Outlook, Excel, Word, OneNote, and OneDrive
- Experience using nVision
- Experience with Traversa and transportation routing
- Capability to perform simple arithmetic computations.
- Strong comprehension of written material.
- Skill in maintaining complex digital records and files.
- Ability to comprehend and execute complex verbal and written directions.
- Excellent interpersonal skills and the ability to work well with others.
- Proficient reading, writing, speaking, understanding, and communicating in English to perform essential duties.

MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE: Graduation from high school or possession of a high school equivalency diploma and three (3) years of experience where a primary function of the position was performing general office/clerical work, two (2) years of which must have included the use of computer applications to maintain automated records or produce correspondence, spreadsheets, forms, reports or other documents. SUBSTITUTION: Satisfactory completion of 30 credits* at a recognized college or university, or its equivalent in course hours from an approved institution or office software manufacturer (i.e. Microsoft) may be substituted on a year for year basis for one (1) year of the general office/clerical experience and one (1) year of the specialized experience using computer applications as described above. Completion of 6 credits* in word processing coursework at a recognized college or university may be substituted for an additional one (1) year of specialized experience using computer applications as described above. All coursework must be verified by official transcript.
All candidates must be on an active Civil Service list for the title of Secretary to School Administrator
