The Intelligent Systems Division develops automated solutions for commercial and government clients in multiple domains including transportation (traffic management, connected automated vehicle), manufacturing robotics, medical prognostics and communication standards.
Objectives of this Role:
- Support the Intelligent Transportation Systems Department by executing administrative tasks as directed by the department administrators and management.
- Provide administrative support for multiple sections within the department. Perform tasks with high level of attention to detail.
- Assist with reports and proposals and ensure deliverables are submitted on a 100% timely basis.
- Save lives, reduce emissions, and make the roadways safer. We bring together talented people from all backgrounds to help us deliver innovative software solutions in the transportation industry.
- Join a dedicated team of computer scientists focused on improving transportation.
Daily and Monthly Responsibilities:
- Maintain project files. Monitor electronic timesheets.
- Utilize Outlook calendars.
- Accurately prepare all electronic forms (travel authorizations, expense accounts, check requests, purchase requisitions, and other electronic forms).
- Review reports, memos, and other miscellaneous forms for grammar and formatting errors.
- Requires working closely with other Institute staff and business offices. Must be able to multi-task and prioritize assigned duties.
- Must be able to respond to requests in a timely, efficient, and accurate manner.
- Requires effective written and verbal communication. Skilled in providing administrative software support to a section or department in an effective manner.
- Assist with meeting coordination (ordering food, setup, cleanup).
- Assist with picking up and escorting visitors. Demonstrate increased problem-solving skills and ability to arrive at a recommended course of action and act on conclusions within delegated authority.
Requirements:
- Requires a high school diploma or equivalent.
- 6+ years: Related work in a professional environment with secretarial, office support, or administrative assistance work experience.
- 6+ years: Proficiency in MS Word, Excel, Power Point, Outlook and Adobe Acrobat is a must. Must possess excellent spelling, punctuation and grammar skills; be well organized; work well with others; be responsible, self motivated, a self starter, flexible and detail oriented.
- Must be able to prioritize and able to work well under pressure when interrupted; be able to multi-task; be able to work independently as well as in a group with minimal supervision; must be punctual and dependable; must have excellent communication and interpersonal skills.
- Continuing education through a college/business school is desirable.
- A valid/clear driver's license is required.
