Job Summary
Under the direction of the Parks & Recreation Director, the Secretary is responsible for the provision of administrative and clerical support services in support of the department operations.
Essential Job Functions
- Assists staff, public and other departments in furnishing information to resolve problems.
- Answers telephone and handles in-person inquiries, service requests, complains and or directs to appropriate person.
- Helps the department in a courteous and efficient manner while also handling unusual or difficult situations.
- Receives and processes citizen complaints for Parks & Recreation Department and issues work orders to resolve.
- Produces quality correspondence and other routine documents, memos, vouchers, requisitions, purchase orders, bid documents and contract documents.
- Maintain regular and prompt attendance, physically present to work.
- Employee may be required to work beyond normal business hours at night and/or on weekends.
- Process and schedules parks, pavilion and fields rentals.
- Handles cash and electronic payments for park, pavilion, field rentals and cemetery plots.
- Creates agenda items and minutes for monthly department meeting or as scheduled.
- Process and guide citizens on City Cemetery purchase requirements, payment plans and fees.
- Schedule cemetery burials
- Performs other similar or related duties as assigned.
Minimum Qualifications & Requirements
- Must have High School diploma; or equivalent (GED).
- Three to five (3-5) years of related work experience to perform such job.
- Valid Class "C" Texas Driver License and be insurable.
- Applicant must pass pre-employment criminal background check and drug screen at City's expense.
- Must successfully complete Emergency Management and Incident Command Training within first three months of hire date.
- Bilingual English/Spanish preferred.
Knowledge, Skills & Abilities
- Knowledge of office procedures and equipment.
- Some knowledge of City Government, departmental operations, and relationships with other City departments.
- Communicate clearly and concisely, both orally and in writing; understand and carry out oral and written instructions.
- Ability to maintain, manage and organize records with highly sensitive and confidential information.
- Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work.
Working Conditions/Physical Demands
- Work involves sitting to perform work tasks, with intermittent periods of stooping, walking, and standing.
- Occasionally lifting, moving, or positioning objects up to 30lbs.
- Visual demands include constantly reading documents for general understanding.
- Works in a well-lighted office setting with heating and cooling air conditioning.
