Optimal Position Start: June 1, 2024
Qualifications: High school diploma required, Associate’s degree preferred.
Well-developed computer and organizational skills essential to the job.
Scope of Duties - The School Secretary will:
- Assist the Program Principal, school districts including team chairs, program staff, parents, and/or any other stakeholders with any communications, both verbal and written, regarding special education matters.
- Assist the Program Principal, school district team chairs, outside agency staff, and school IEP organizers with the scheduling of team meetings as well as maintenance of deadlines relative to all special education matters.
- Assist the Program Principal with completion and maintenance of administrative paperwork for students, staff, parents and families, and other stakeholders.
- Engage in any face-to-face interactions with community members and stakeholders (students, program staff, Collaborative staff, school district members, parent and families, and outside agency staff) regarding updates, policies, procedures, and communications.
- Manage and maintain various administrative processes, including: schedules; contact information; schedules and invitations of team meetings; paperwork and timelines related to students' individualized education plans (IEPs); student record databases; student information management systems (SIMS); three-year reevaluations; extended evaluations; progress notes; and referrals.
- Manage and maintain other documentation, including: program expenses; school and classroom budgets; accounts and billables; purchase orders; supplies; reimbursements; organization of field trips and community outings; et cetera.
- Manage and maintain various online databases, including: eSped/Frontline; SchoolBrains; TalentED; and other portals related to student and staff caseload.
- Be able to use the Google Suite platform (Gmail, Calendar, Drive, etc.) for organizational collaboration across the program and the SEEM Collaborative.
- Be able to review all paperwork for accuracy and completeness.
- Be responsible for other clerical duties, including but not limited to: greeting visitors; handling phone call and email communications; scheduling; maintenance of and confidentiality with respect to student and staff records and requests; emergency contact information; program attendance; and all other office maintenance.
- Work with SEEM Collaborative's Administrative Office staff in the communication, processing, and handling of student and staff paperwork as well as other organizational tasks.
- Participate in staff meetings and engage with staff on a daily basis.
- Complete all necessary trainings as outlined for employees.
- Complete any other duties as assigned by the Program Principal and/or Executive Director.
Employment is contingent upon passing a SAFIS fingerprint and CORI screening.
Evaluation: The School Secretary will be evaluated on an ongoing basis, and will be given a formal evaluation at least annually by the Program Principal.
