JOB SUMMARY
The Sales Support Specialist is accountable to accurately process customer orders, from order entry through delivery and payment receipt, and maintain a positive relationship with the customer and sales representatives. He/she will work closely with Sales, Shipping, Accounting and Management team. He/she will be a liaison between Sales (and the customer) to ensure the customer’s order is handled accurately and professionally. He/She will work with Accounting regarding matters of Customer Information Set Up, Payment Terms and Accounts Receivable.
Pay: $22-$23/hr
MAIN RESPONSIBILITIES
- Responsible for accurate and timely processing of Customer Orders, including related data and records:
- Entry of customer purchase orders in Microsoft Dynamics
- Update and Upload order confirmation to Sales Force
- Preparation and Distribution of Order acknowledgements to Customer and Sales
- Coordinating order shipments, if applicable
- Issue customer quotes and assist Sales Representative inquiries. Acknowledge receipt of request as soon as possible. Respond to inquiries the same day if email received before noon or next morning (before noon next day) if email received a after 12pm.
- Prepare purchase orders for direct and indirect orders.
- Handle all incoming customer and vendor inquiries. Acknowledge receipt of request within an hour or two. Provide response within 24 hours.
- Set up new items in Dynamics
- Enter orders into dynamics within 24 hours of receipt of P.O., to maintain current open order status and provide optimal lead-time to vendors.
- Ensure there are no discrepancies between customer’s P.O. and customer’s dynamics file or quote (payment terms, freight terms, customer’s Terms and Conditions of Purchase, etc.)
- Provide ongoing communications with customers regarding order progress and delivery status
- Work with Sales Representatives, Credit Manager, and Customer to resolve credit issues
- Review and Reconcile sales orders to determine if order is complete
- Update customer files in Sales Force with order confirmation
- Provide solutions to customer inquiries by researching files, tracking orders, and locating stock in the warehouse
- Provide solutions to vendor inquiries concerning new and existing products
- Partner with Sales rep and CSR Manager to resolve customer and vendor issues in a timely fashion
- Prepare daily, weekly, and monthly reports as assigned to Supervisor
- Monthly inventory reconciliation between systems
- Assist in annual warehouse inventory
- On-going assistance with new CSR’s training as needed
- Perform other duties and handle special projects, as required
MINIMUM EXPERIENCE AND EDUCATION REQUIREMENTS
EDUCATION
- Minimum of a College Diploma (business related focus), or equivalent experience.
EXPERIENCE
- 2 + years’ experience in a customer service related
- Knowledge of general office equipment
- Packaging industry experience a plus
LANGUAGES
- Fluent in English, both written and verbal
- Fluent in Spanish, both written and verbal, is considered an asset

Physical Environment
- The duties of this job include periods of sitting, frequent walking, frequent computer use, frequent use of telephone including voicemail, and frequent use of general office equipment. Occasional lifting required when locating stock in the warehouse.
Work Environment
- Internal, climate-controlled traditional office environment
- The Customer Service role has daily stress due to customer deadlines and responsibility in accuracy. The incumbent is faced with constant interruptions and frequently meets with others.
