Job Description:
The client is a CT-based company seeking a Full-time Sales & Marketing Coordinator for their Shelton, CT location. The company is a Specialty Chemicals & Nutraceutical Ingredients Distributor-Manufacturer/Supply Chain Mgmt.
JOB DESCRIPTION: The Sales Coordinator plays a major role. This position provides sales support for existing business, is the interface between the suppliers and the customers, processes sales orders and confirms delivery schedule, sales follow-up, monitors customer credit limits and late payments. Ensure that customers and principals are provided with accurate and timely information on domestic and international sales transactions. Provide office support to the sales team including telephone sales as appropriate, inventory and order management, logistics coordination, and assistance with sales development efforts.
This position reports to the Operations Manager.
The position requires the candidate to be able to:
Sales Coordinator Duties:
1. Interface between international and domestic customers, suppliers, and contract manufacturers. Ensure customers and principals are provided with accurate and timely information on sales and purchase transactions.
2. Input of purchase, sales, and other related data in the local ERP system. Responsible for accuracy of information, updating and monitoring of information from purchase order entry to delivery of sales order, including customer invoicing and receiving payment.
3. Assist Product Managers in managing inventory levels related to assigned stocks at warehouses.
4. Payment collections management. Actively contributes to customer credit limit control, collection calls, and payment recovery if necessary.
5. Ensure timely processing and payment of vendor invoices.
6. Enter estimated transportation and warehouse handling and storage costs in the database.
7. Gain an understanding of international rules and regulations that govern the shipments and documentation of chemical and pharmaceutical/nutraceutical products ensuring DOT, GHS, FDA, and hazmat compliance.
8. Take advantage of relationships with customers to provide the sales team with market information and possible sales opportunities. Promote supplier products and look for selling opportunities in day-to-day contact.
9. Work closely with the logistics and accounting departments to ensure the streamlining and efficiency of procedures.
10. Deal effectively with customer problems and provide timely resolution.
11. Assist the sales force in all related work and business development.
12. Apply a general understanding of international logistics in relation to complete order management from supplier through to delivery to customer.
13. Back-up other sales support colleagues, and other projects as assigned.
14. Attend internal/external training meetings/courses.
15. Periodically attend trade shows, customer sales calls, and meetings with the product manager.
Marketing Duties:
1. Prepare weekly sales reports for Global Chemical’s sales team. Gather, organize, and streamline sales information received from Product Managers worldwide into one consolidated report.
2. Assist Product Managers in all marketing aspects of trade shows including but not limited to booth design and shipment, development of product brochures, and promotional giveaway items.
3. Orders and/or prepares marketing and promotional items for the Product Manager’s customer visits, including business cards and preparing PowerPoint presentations.
4. Monitor The client Chemical’s email inbox and phone messages for potential sales leads and work with the Managing Director to direct the lead to the appropriate Product Manager.
5. Assist in managing product updates and marketing information on the client Chemicals webpage as needed.
Requirements:
JOB QUALIFICATIONS: Bachelor’s degree in business, marketing, supply chain management (Chemistry/Biochemistry is not required but a plus) or related discipline and 3+ years’ experience of related work experience. Experience relating to order management/customer service on an international basis is preferred. This position requires someone who is highly organized and possesses strong written and verbal communication skills. Communicates information professionally and follows up in a clear and timely manner. Excellent attention to detail, organizational, and time management skills. S/he should have good interpersonal skills and a passion for providing excellent customer service. Ability to work effectively across multi-discipline teams and all levels. Positive, energetic, and enthusiastic attitude, proactive, responsible, results-driven, problem/solution oriented, flexible to the needs of the business. Professional telephone manner required along with excellent IT/database skills (MS Office, Outlook, Word, Excel, PowerPoint), experience in IFS a plus.
