About the Job
Events & Conferences is a division of Auxiliary Services responsible for the coordination of University-wide events, room scheduling of University events, management of the summer conference operations, management of a campus arts venue, and the coordination of non-University conferences and events throughout the year. Our mission is to support the academic enterprise of a vibrant research institution by providing comprehensive service and event planning resources at an exceptional value to campus departments and external clients. We are seeking a Sales & Events Specialist to join our team. Reporting to the Assistant Director of Sales & Client Services, this position serves as the front-line point of contact for conference and event inquiries.
Key Responsibilities:
- Respond to inquiries that come in via phone, email, webform, and third-party sites
- Analyze requests to anticipate needs, provide proposals, conduct site tours, and coordinate venues and services
- Create, track, and monitor reports on past and current inquiry requests
- Manage a limited number of programs annually from inquiry to financial reconciliation
- Assist with sales & marketing initiatives
- Manage and collaborate with student employees
- Provide support to other areas within Events & Conferences such as reservations, registration, summer conference housing, and Commencement
Required Skills
A cover letter is required for consideration.
- Bachelor's degree
- One to three years of relevant experience in customer service, sales, or hospitality
- Excellent interpersonal and communication skills
- Ability to analyze and anticipate client needs while comparing to available facilities and services
- Ability to remain calm and positive under pressure and to deal effectively and diplomatically with a variety of constituencies
- Must be resourceful and able to set priorities to successfully execute short- and long-term overlapping projects
- Proficient in Microsoft Office including Excel
- Willing to work evenings and weekends for events, client meetings, or site visits
- Demonstrated commitment to diversity, equity, and inclusion
- Valid Driver's License and knowledge of Boston University is preferred
