Become a key player as a Sales Coordinator:
This role acts as the intermediary connecting customers with the company, ensuring a proactive and streamlined customer service experience and overseeing deliveries from receipt to customer receipt. The position involves managing order processing, storage, and coordinating with internal and external stakeholders such as freight forwarders, trans loaders, sales, shipping, and production for effective operations.
- Maintains sales and administrative files.
- Downloads various reports and publications from daily and monthly online sources.
- Process orders by quoting a price indication; taking orders; requesting hedge; pricing order, entering order into order entry system and confirming order to customer. Matches invoices with orders and shipping documents and turns over to be scanned.
- Manage various warehouse and customer stock levels and places consignment orders to replenish when necessary. Set up FY year end warehouse and consignment stock physical inventories and reconcile with our records.
- Coordinate with shipping department to secure transportation for orders shipping from the plant. Sends releases and associated other shipping documents to warehouse or plant.
- Maintain records of sales per customer, both physically and electronically.
- Learn and use various customer portals.
- All customer service relating to domestic orders as applicable.
- Coordinate various RFP’s, RFQ’s, Diversity spend, etc., gathering requested information in order to submit bids and maintain customer relationships.
- Maintains and updates lists for corporate gifts and holiday cards and organizes mailing of such.
- Plans and coordinates Board of Directors meetings, including hotel accommodations, dinners, transportation, etc., in various locations.
- Cross-trains with other support staff personnel in the sales and administration office to provide assistance as needed.
- High school diploma or general education degree (GED) with four years administrative support experience
- Proficient in basic mathematics, including percentage calculations and metric to imperial conversions
- Skilled in reading and interpreting documents, such as letters of credit
- Capable of writing routine reports and correspondence
- Effective communication skills for presenting information to customers and colleagues
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and order entry systems
- Ability to follow written, oral, or diagram-based instructions using common sense
- Strong problem-solving skills for dealing with situations involving multiple variables in standardized settings
- Physically able to operate a computer and telephone, occasionally walk, stoop, crouch, and lift up to 25 pounds; reasonable accommodations available for individuals with disabilities
Pay Range:
$60,000 - $70,000 annually (plus guaranteed quarterly bonus)
