Job Description
We are hiring for a Sales Coordinator for our commercial and transportaion departments. The role will help with reporting, quotes and proposals. We are looking for someone with work experience from the automotive or trucking industries.
Job Duties:
Review vehicle sales files and vehicle purchase files received from sales staff to confirm that all required documents are included.
Process these files through the required approval process.
Transmit vehicle purchase orders to the vendors and record in factory order log.
Receive vehicle purchase confirmations from vendors, record in factory order log, and route confirmations to appropriate sales staff.
Review confirmations/change orders approved by sales staff; transmit confirmations/change orders to vendor and record in log.
Review log for confirmations not received from vendors or sales staff and follow up with vendor or sales staff in order to complete the entry in the log.
Process all documents from vendor pertaining to the purchase of the unit and the invoices.
Process customer information and PO request from vendors.
Create vendor PO s, sales orders/deals, vehicle units and work requests within system.
Prepare reports required by customers for procurement.
Create proposals, bid packages and related filings/disclosures for the sales staff.
Process manufacturer rebates.
Assist sales staff with follow up on customer orders and deliveries.
Attend weekly production meetings.
Conform with and abide by all regulations, policies, work procedures and instructions.
Conform to all safety rules and use all appropriate safety equipment.
Key Performance Indicators (KPI)
Process orders with manufacturers within 24hrs of receipt and with 100% accuracy
Process OE chassis rebates within 24hrs chassis release
Work with PDI team to manage delivery schedule with 95% accuracy
Provide weekly/monthly department financial reporting with 100% accuracy
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8 A.M. To 5 P.M.

JOB SPECIFICATIONS:
Education and Experience:
High School Diploma or associate degree
2-3 years of customer service/administrative experience
Strong accounting/computer skills
Microsoft Office -Word and Excel proficiency
Preferred Education and Experience:
Knowledge or experience in automotive and/or truck industry.
NetSuite experience is highly preferred.
Some accounting experience / proficiency with ordering and quoting preferred.
