Job Description
This role will be responsible for invoicing and order entry in the sales department. It includes being a point of contact for internal and external customers providing current information related to the sales and account receivable lifecycle. As well as a variety of clerical duties of a routine and recurring nature, including typing, filing, and preparation of standard forms. Acts as a periodic receptionist relaying incoming and interoffice calls.
Essential Duties
- Compiles data from varied sources and makes summary reports as required. May involve routine mathematical calculations and tabulations in accordance with established methods.
- Processes work orders or documents requiring Mestek Machinery procedural knowledge.
- Provides prompt and accurate internal and external customer service to stakeholders.
- Reviews documents for sufficiency, obtains necessary signatures, and routes appropriately.
- Maintains accurate customer files.
- Verifies deposits and posts to accounts receivable.
- Generates shipping/invoicing documents for machine and parts orders.
- Duplicates, files, and retrieves accounts receivable material as needed.
- Responsible for the life cycle of sales and invoicing process and communication with various stakeholders.
- Process and maintain sales quotes, ERP, and CRM systems.
- Performs other such duties as may be assigned.
Education and Experience
- Graduation from high school or GED equivalent.
- Experience with manufacturing, sales, accounting preferred.
- Working knowledge of ERP (Epicor) and CRM (Salesforce) platforms.
- Ability to use computer software such as Microsoft 365.
- Understanding of basic accounting cycles.
- High energy, high integrity, self-starter requiring minimal supervision.
- Excellent oral and written communication and interpersonal skills.
