Summary
The Residential Specialist performs a wide range of administrative and office support activities in support of the Residential Department to facilitate the efficient operation of the organization. This is a full-time position, standard office hours are Monday through Friday, 9:00am until 5:00pm, with flexibility.
Supervisory Responsibilities
This job has supervisory responsibilities. This position supervises the Assistant Residential Specialist.

Education and/or Experience
A high school diploma or GED equivalent is required; a college degree is preferred. A minimum of 1 year of administrative experience in the healthcare or human service field is preferred.
Trainings, Licenses, and Certifications
The employee must have and maintain a valid Maryland driver’s license. They may not have more than three points on their license at any time and may not have any alcohol and/or drug related citations on their license.
Bello Machre Orientation, Developmental Disabilities Orientation, First Aid, CPR, Mandt, Special Training, and Supervisory Training, Training may be provided upon hire.

Physical Demands
While performing the duties of this job, the employee is regularly required to talk, hear, stand, walk, sit, bend, lift, push, pull, and reach with hands and arms. The employee must be able to lift at least 50 pounds.
Environment
While performing the duties of this job, the employee may be in a variety of locations and conditions, including but not limited to the home, various offices, and out in the community.
OSHA
Employees in this position perform tasks that may involve potential exposure to blood and other bodily fluids. All employees are expected to utilize universal precautions and follow all safety guidelines. All employees are offered the opportunity to obtain the Hepatitis B vaccination at no cost to them, and at any time during their employment.

- Attend mandatory meetings, to include in-service, supervisory meetings. Take meeting minutes for department meetings.
- Assist with organizing In-Service meetings for the Residential Team.
- Support the Program Directors as needed.
- Create opportunities to team build and functions that acknowledge special dates and/or events.
- Utilize Bello Machre’s automated time and attendance system to document and maintain time off, work location, and work title; communicate with supervisor for any time off needs and ensure coverage for your team as appropriate.
- Ensure a safe environment where individuals are free from abuse and neglect; follow and promote safety practices in the home, vehicle, and community in order to work in a safe and productive manner; report and correct potentially hazardous situations; participate in all safety-related trainings.
- Respond to all phone calls and emails within 24 hours; Ensure that all deadlines are met in a reasonable manner; maintain a clean and organized work area and documentation.
- Answer telephone promptly and professionally; assist callers by providing requested information or by transferring calls upon request; contact employees directly as needed.
- Greet visitors in a friendly manner, providing a positive experience. Direct visitors to appropriate staff members or other resources as appropriate.
- Maintain a clean and organized area and building (including common spaces such as the mail room and kitchen); distribute boxes, packages, and mail (including faxes) for the residential building in a timely manner.
- Monitor and order office supplies, including all kitchen and bathroom supplies in the residential buildings.
- Serve as a liaison for all interns and volunteers.
- Create and maintain residential files for all residents served by Bello Machre; Maintain a ready supply of all materials.
- Create, maintain, and update forms used for the Residential Department electronically.
- Support the Residential team with administrative tasks as needed (e.g. typing reports, uploading information into iCM, etc.)
- Provide Program Directors with maintenance and information relevant to the Data Management System.
- Prepare materials and room for in-services.
- Assist with the new admission process in iCM.
- Maintain and update Smart Search and iCM information for the Residential Department, including tracking all individual plans (e.g. PCP, BMMP, Behavior Plan, Psychological, etc.).
- Process monthly and quarterly reviews received from the residential team.
- Track monthly documentation such as fire drills and monthly reviews.
- Prepare the onboarding bags for new employees.
- Perform audits quarterly on monthly reviews, mechanical supports, and fire drills and share them with the Director of Residential Services.
- Provide support or directly share communication with the Assistant Residential Specialist as appropriate.
- Organize weekly PD meetings and monthly THEE meetings. Complete and distribute meeting minutes to all attendees as appropriate.
- Maintain on-call binder/IPAD; coordinate the on-call rotation.
- Maintain positive relationships with Program Directors and Family Living Directors, which allows for regular communication; build and maintain positive relationships with all Bello Machre employees.
- Process petty cash and PNA checks monthly for distribution to the FLDs.
- Other duties as assigned.
