Details:
The Research Operations Project Coordinator supports scientific and executive meeting management in collaboration with various departments and stakeholders including executives and their business partners, conferences, and events, site services, IT, and/or other business functions as needed. This role also supports Research sponsored events or programs, as assigned.
Job Responsibilities:
Administratively support Research Leadership Team meetings (RLT), Research Review Committee meetings (RRC), and Research Director Update meetings (DU). Tasks may include but are not limited to, scheduling, calendaring, drafting agendas, catering, AV support, room set up
Manage departmental and functional distribution lists and multiple individual/departmental calendars.
Communicate with new Directors/RRC members on access to Portfolio dashboard and RRC database and offer support and training as requested.
Generate reports or respond to data inquiries from the RRC database per request. Track timing for upcoming RRCs per current RRC Guidelines and engage in proactive outreach to schedule upcoming Scientist and Portfolio Updates.
Organize RRC Members in Residence Program
Assist at RRC Meetings on as needed basis
Update gMinutes after each meeting with recommendations, attendees, final slides, or records, and support future gMinutes enhancements. Work on continuous improvement and harmonization between various gRED review committees (e.g., DB, ESPC, DSRF, CSRC).
Assist in matrix and organizational goal tracking.
Assist in additional leadership meetings (ex., Scientific Resource Board (SRB), RLT Offsite..etc) when requested.
Assist in additional Research-sponsored programs (ex. internship program), website improvements, RRC guidance documents, and other projects as assigned.
Skills:
Direct experience in research environment, lab management and/or workflow optimization
Excellent writing and verbal communication skills
Ability to influence with or without authority, bring teams to consensus/alignment
Experience with project management tools for tracking/reporting business practices
Excellent planning, organization, prioritization, multi-tasking skills
Accountable for actions; takes ownership and learns from mistakes
Operate with high degree of autonomy and professionalism; successfully manage and prioritize workload in accordance with business goals
Qualifications:
BA/BS/MS from an accredited college or university, biological science background a plus but not required
Minimum 2 years experience in industry
Demonstrated administrative experience
Demonstrated writing/editing experience
Demonstrated project management experience
Progressive use of software tools
Excellent communication skills
Attention to detail and accuracy
