THE ROLE
The Repairs & Custom Design Coordinator is a highly organized and detail-oriented professional who plays a critical role within the production team. Reporting to the Production Director, this role is responsible for managing all repair and custom design processes while ensuring exceptional customer service standards are maintained. The coordinator oversees repair workflows, prepares accurate estimates, collaborates with jewelers, and facilitates seamless communication with clients and the sales team. With services accounting for 30-35% of daily traffic, this position requires strong organizational skills, attention to detail, and extensive knowledge of jewelry repair, custom design, and gemstone handling. A proactive approach and excellent communication abilities are essential for success in this dynamic and fast-paced role.

ESSENTIAL JOB RESPONSIBILITIES
Repair Processing:
- Oversee and manage the entire repair process, from intake to completion, ensuring all jobs are handled with precision and efficiency.
- Process incoming repair requests daily, reviewing for accuracy and documenting materials, authenticity, and repair needs in the system.
- Coordinate repair tasks by assigning them to jewelers or external vendors, sourcing necessary materials, and monitoring associated costs.
- Conduct quality checks on completed repairs to ensure they meet high standards before preparing items for customer pick-up.
- Handle a wide range of services, including simple cleanings, routine maintenance, complex repairs, and restyling projects.
- Maintain consistent and clear communication with customers by providing updates, estimates, and timelines to deliver a seamless client experience.
- Manage insurance claims from start to finish, acting as the primary liaison between customers and insurers to ensure smooth resolution.
- Collaborate with the sales team to generate quotes and finalize designs for custom and restyle projects.
- Oversee supply and gemstone ordering for projects and ensure timely job completion.
- Perform quality control on completed pieces and document notable projects for marketing purposes.
- Convert completed jobs into product SKUs with accurate pricing information.
- Manage inventory of gemstones and ensure proper handling of short- and long-term memos.
- Process gold trade-ins and scrap value management, ensuring accurate inventory tracking.
- Answer customer inquiries and direct opportunities to the appropriate team members.
- Maintain accurate inventory, manage returns, and conduct regular audits as needed.
- Adhere to all security procedures and actively identify potential risks.
- Exhibit professionalism in all interactions, following company standards and dress codes.
- Communicate effectively with customers, vendors, and team members, maintaining a positive and solution-oriented attitude.
Experience:
- 2-3 years' experience in fine jewelry, including repairs, stones, and materials.
- Experience working closely with jewelers in a production or service environment.
- Proven ability to handle high-volume repair and service operations with accuracy and efficiency.
- Excellent communication and customer service skills to manage direct client interactions and team collaboration.
- High school diploma or GED required.
- Preferred: Graduate Gemologist (GG) from the Gemological Institute of America (GIA) or GemA FGA.
- Proficiency with jewelry inventory systems (e.g., Edge, Asana) and repair processes is a plus.
- A proactive learner with a genuine interest in developing their skills and growing within the role over time.
- A willingness to be mentored and shaped into a key contributor, with a long-term commitment to the company.
- Work Location: Onsite in New York, NY.
- Workdays & Hours:
- Tuesday – Friday: Core hours 11:00am – 7:00pm
- Saturday: Core hours 11:00am – 6:00pm
- Compensation: Hourly pay ranging from $31.25 to $36.06, commensurate with experience.
