?? Your Next Adventure: HRT Assist / Member Care Coordinator
REPORTS TO: HRT Assist Manager / Regional Operations Manager
CLASSIFICATION: Full-time, Non-Exempt
SCHEDULE: Monday - Saturday, 5 days only, will differ week over week based on when coverage is needed, 30+ hours a week, 7am - 3pm
LOCATION: San Jose, Campbell, Mountain View, and Redwood City, CA
?? DUTIES & RESPONSIBILITIES
Pre-Clinic Preparation
- Verify patient paperwork: Ensure all Health History Questionnaires (HHQ) and Patient Agreements (PA) are completed prior to appointments.
- Manage memberships and payments: Review patient membership details, process payments, and upsell membership packages where appropriate.
- Prepare lab reports: Check and ensure all necessary lab results are ready for clinician review.
Clinic Operations
- Patient check-in and coordination: Greet patients warmly, check them in, and communicate with clinicians to confirm readiness, ensuring a welcoming and efficient experience.
- Prepare medical instruments: Assist with preparing instruments for pellet insertion procedures and maintain sterile techniques.
- Conduct patient assessments: Perform InBody scans and record vital signs, ensuring accuracy and adherence to therapy guidelines.
- Document interactions: Record patient interactions, including vitamin therapy administration and examination room setup and cleanup.
- Maintain clinic supplies: Ensure all supplies, such as germicide and distilled water containers, are clean and ready for use.
Patient Follow-up, Customer Service, and Sales
- Schedule follow-ups: Organize timely reminders and coordinate with patients for follow-up visits.
- Act as a trusted advisor, helping patients understand how additional treatments, memberships, or services can enhance their outcomes.
- Monitor lab orders: Track patient adherence to pending lab tests, emphasizing the value of timely results.
- Support sales goals: Identify opportunities to recommend additional services, memberships, or products that align with patient needs.
- Medication management: Triage and facilitate medication refill requests and handle inquiries from pharmacies.
- Provide exceptional service at every touchpoint, ensuring patients feel valued and cared for.
Inventory and Supplies Management
- Monitor and order supplies: Manage medical supplies and pellet inventory, placing orders as needed while minimizing waste. Maintain readiness for both routine operations and peak demand.
Post-Clinic Duties
- Finalize records: Ensure patient records are accurately entered into the system, confirm all fees are charged, and communicate with patients about membership or product renewals.
- Maintain equipment: Oversee autoclave maintenance and operation to ensure clinic safety and compliance.
?? QUALIFICATIONS AND REQUIREMENTS
- High school diploma required. Bachelor's or Associates degree in related field preferred.
- 1-2 years of experience in a customer-facing role, preferably in a medical or clinical office setting.
- Proficient in MS Office 365, EHR/EMR systems, and scheduling and billing systems.
- Exceptional interpersonal, verbal and written communication skills.
- Excellent multi-tasking skills. Ability to efficiently perform job duties in a fast-paced work environment with zero to few errors.
- High level of ownership, accountability and initiative.
- Flexible with a team-player mentality. Ability to work collaboratively and efficiently in an intimate clinical setting.
- Experience working at a med spa, aesthetic dermatology offices, plastic surgery, other weight loss centers or infusion sites highly recommended.
- Work Environment:
This role involves working in a clinical setting where adherence to health and safety guidelines is critical. The BHRT Assist. will work closely with clinicians and other healthcare professionals to ensure the smooth operation of the clinic and optimal patient care.
