Overview:We are seeking a Receptionist with strong customer service, organizational skills, and precise attention to detail. Inventory control and basic accounting experience are desired but we are willing to train the right individual. This important role serves visitors by greeting, welcoming, and directing them appropriately. You will be responsible for notifying company personnel of visitor arrivals. You will also inform visitors by answering or referring inquiries to the appropriate department and person. This role also maintains the reception security and telecommunications systems.
Responsibilities:- Warmly greet walk-ins and customers in person or via phone
- Maintaining employee and department directories and accurately direct visitors to appropriate department contacts
- Operate telecommunication system by following manufacturer’s instructions for house phone and console operation
- Keeps a safe and clean reception area by complying with procedures, rules, and regulations
- Maintains security and telecommunications system, monitor logbook, and issue required visitor badges
- Accurately process credit card, check, and cash transactions
- Reconcile all cash on demand (COD) transactions
- Code invoices for accounts payable
- Compare received inventory to invoices and transfers
- Detect and resolve problems with incorrect orders, invoices, and shipments. Contact appropriate personnel and vendors to correct or obtain information needed.
- Maintain delivery, shipping and returned parts records
- Minimum two years in clerical or administrative role
- Excellent attention to detail and data entry skills
- Excellent phone etiquette, professional demeanor, and customer service skills
- Proficient with computer programs with intermediate to advanced proficiency in MS Excel
- Ability to manage multiple priorities and display flexibility in a fast-paced work environment
- Ability to efficiently use phone system and office equipment
- Valid driver’s license and ability to meet insurance requirements.
