About the Job
JOB DEFINITION:
Provide reception and front desk services to general offices under the supervision of the Office Manager.
EDUCATION REQUIRED:
High School diploma or its equivalent. Training in basic office skills, such as answering telephones, responding to general inquiries, computer entry and other office tasks.
EXPERIENCE REQUIRED:
None
DUTIES AND RESPONSIBILITIES:
- Greet and announce all visitors, alert appropriate personnel as required. Answer telephones, route all calls to the appropriate staff and take messages when requested.
- Distribute and collect guest badges and maintain visitor log.
- Responsible for monitoring the clients' daily attendance sheets.
- Under the direction of the Office Manager, will schedule appointments for the doctors and nurses.
- Process the ordering of office supplies as needed.
- Accept and route all deliveries. Alert Office Manager of deliveries.
- Maintain the physical appearance of the waiting room, i.e. stacking reading materials, keeping brochures on hand, putting away objects left behind and straightening chairs.
- Must be aware of untoward circumstances in the waiting room areas and follow established protocol for dealing with same.
- Data entry into the EHR and other programs as requested.
- Maintain and organize client charts in cabinets. Ensure labels are on charts and replace labels or binders as needed. Process consolidation of charts when applicable.
- Assist in yearly archiving of client charts and programs under the direction of the Office Manager or Program Coordinator or Program Director.
- Opens and/or closes the facility as assigned
- Complete QI Training during onboarding and participate in QI refresher training as needed.
