Duties and responsibilities
Front Desk Operations:
Greet and assist visitors, ensuring they are directed to the appropriate department or personnel.
Answer, screen, and direct phone calls in a polite and professional manner.
Respond to emails and general inquiries regarding the company’s services, products, and operations.
Maintain the reception area, ensuring it is tidy and welcoming at all times.
Administrative Support:
Provide administrative assistance to various departments, including HR, Finance, and Operations.
Manage and maintain office supplies, ordering and restocking when necessary.
Organize and schedule meetings, conferences, and appointments for staff.
Assist in preparing documents, presentations, and reports for management.
Record Keeping and Filing:
Maintain and organize company records, files, and databases, ensuring they are easily accessible and up to date.
Assist with filing and document management, ensuring compliance with internal processes and regulations.
Data Entry and Reporting:
Input data into internal systems and databases accurately.
Assist in generating reports, tracking key performance metrics, and maintaining relevant records.
Support for Operations:
Coordinate with vendors and suppliers for office-related supplies and services.
Assist in organizing company events, such as team-building activities and client meetings.
Help with the logistics of plant tours, especially for potential clients or stakeholders.
Qualifications
Education: High school diploma or equivalent; an Associate’s degree in Business Administration, Office Management, or a related field is a plus.
Knowledge, Skills, and Abilities:
Minimum of 2 years of experience in a receptionist or administrative assistant role, ideally in a manufacturing or industrial environment.
Familiarity with basic office equipment (e.g., fax, photocopier, multi-line phone systems).
Experience with Microsoft Office Suite (Word, Excel, PowerPoint) and office software.
Strong communication skills, both verbal and written, with a professional demeanor.
Excellent organizational and multitasking abilities.
Ability to handle sensitive and confidential information with discretion.
Basic problem-solving and decision-making skills.
Strong attention to detail and the ability to work under minimal supervision.
Working conditions:
Office-based role with occasional interaction in a manufacturing environment.
The role may require sitting for long periods and performing administrative tasks in a fast-paced setting.
Must be comfortable working in a fast-paced, rapidly changing environment
May be required to work after hours and on weekends or holidays
