About the Job
Serve as the primary point of contact for visitors entering the facility, ensuring a welcoming and professional environment. Manage the front desk and main office operations daily, performing a diverse range of administrative and clerical tasks. Provide crucial support to ensure the efficient functioning of the organization, handling responsibilities related to organization, communication, and logistics coordination.
Administrative Support:
- Perform general administrative duties, including answering phones, managing emails, and handling correspondence.
- Greet visitors and direct them to the appropriate individuals.
- Schedule and coordinate meetings and appointments.

- fice supplies and inventory to ensure the logistics department is well-equipped.
- Keep the reception area clean, tidy, and presentable with all necessary supplies stocked.
- Sort daily mail, including Express mail delivery and inter-office mail.
- Coordinate the procurement and distribution of office, cleaning, and kitchen supplies as needed.
- Contact vendors for vending machines, coffee pots, or other rented office/kitchen equipment for refunds, new food items, and service calls when necessary.
- Assist with coordinating luncheons, conference meetings, and board meetings with other facilities and necessary outside contacts. Update calendars as required.
- Perform other administrative and clerical duties as needed, including filing, photocopying, transcribing, faxing, and scheduling.
- Ensure timely and regular attendance.
Data Management:
- Enter and maintain accurate data in logistics and inventory management systems.
- Generate and distribute reports on shipment status, inventory levels, and other key metrics.
- Assist in data analysis to identify trends and improve logistics efficiency.
Customer Service:
- Respond to inquiries from customers and partners regarding shipment status, delivery schedules, and other logistics-related issues.
- Resolve customer complaints or issues in a timely and professional manner.
- Maintain positive relationships with clients by providing exceptional service and support.
Compliance and Documentation:
- Ensure all logistics activities comply with company policies and legal regulations.
- Maintain accurate and up-to-date records of shipments, receipts, and inventory.
- Perform other duties as assigned
Education/Experience:
- High School Diploma or equivalent
- Previous customer service experience (preferably phone)

- Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other computer software and applications.

- Confidentiality: Ability to maintain and ensure confidentiality of team member and company information.
- Flexibility: Ability to accommodate flexible schedules, including overtime, nights, weekends, and holidays as required, to meet customer needs.
- Equipment Use: Proficient in utilizing job-related equipment such as computers, cell phones, copiers, scanners, phone system and printers.
Physical Demands
- Must be able to lift up to 25 lbs occasionally
- Must be able to sit on an almost continual basis and stand, walk, bend, or squat on an occasional basis in a normal office environment
- Frequent to continual usage of keyboard and monitor
