About the Job
The Receptionist for Actsphere Insurance Group will answer phones/transfer calls, will handle incoming and outgoing mail, and may assist with social media postings. The Receptionist will also foster relationships with agency referral partners by sending them handwritten correspondence, emails, and texts. This position also administers agency software platforms, including but not limited to, Microsoft Office Administration, password management, email automations, texting service, e-signature program, office phone system, and employee tracking application software. The Receptionist will assist the agency owner in scheduling appointments, tracking personnel leave requests, and any other work-related tasks requested. Preference will be given to those with experience in the above areas as well as to bilingual speakers. This is a full-time, in-office position.
Salary Range: $13.00 - $16.00 per hour

Responsibilities
- Answer phones
- Handle incoming and outgoing mail
- Respond to Google reviews and notate them in agency client management system
- Coordinate volunteer opportunities in the community and publicize them on social media
- Assist with writing content for company website and SEO tasks
- Communicate with carriers on portal access issues such as password resets and updating agency licenses
- Onboard/Offboard agency new hires and employees
- Administer employee access and licensing for various agency software platforms
- Create/maintain company DocuSign/e-signature templates
- Assist with posting job openings and vetting applicants
- Schedule meetings and interviews via Zoom and Teams
- Assist agency owner in creating/revising company documents
- Be the agency liaison with the website maintenance provider
- Assist in creating/ordering agency marketing materials such as notecards, t-shirts, and giveaway items
- Assist in planning and coordinating agency functions
- Ensure office supplies are stocked
- Other functions as assigned by management
Requirements
1. Must be an organized, assertive self-starter
2. Ability to communicate professionally both orally and in writing in English
3. Ability to respond maturely and clearly in a professional, friendly manner to client or referral partner concerns
4. Knowledge of graphics design principles and social media marketing is necessary
5. Familiarity with posting and advertising on social media platforms
6. Knowledge of Facebook Business Suite, ad creation, and custom audience creation is needed but can be learned on the job if necessary
7. Possess a genuine willingness to learn; be intuitive and resourceful; and be coachable.
8. Display leadership skills, including the ability to delegate, engage, and inspire others.
9. Have a strong work ethic and leadership skills.
10. Must work well in a team environment.
Other Requirements
1. Ability to use personal computer, agency database and automation systems, and proficiency in various software programs, including but not limited to Microsoft Outlook, Word, and Excel.
2. Must have dedicated, quiet workspace within the home as well as a reliable internet connection and a second monitor. An agency laptop will be provided.
