Job Title: Receptionist / Office Administration
Job Summary:
We are seeking a highly organized and detail-oriented Receptionist / Office Administrator to join our team. In this role, you will be the first point of contact for clients and visitors, and will provide essential administrative support to ensure the smooth operation of the office. The ideal candidate will be professional, proficient with office software, and able to handle multiple tasks with a high level of attention to detail and accuracy. This position offers an opportunity to grow within the company, taking on additional responsibilities as you become familiar with our processes and operations.
Key Responsibilities:
- Phone and Front Desk Management: Answering incoming calls, directing them to appropriate team members, and managing messages in a timely and professional manner. Greeting visitors and ensuring they are directed to the correct department or individual.
- Mail and Document Distribution: Sorting and distributing incoming mail; preparing outgoing mail and packages; maintaining a record of incoming and outgoing correspondence.
- Compliance and File Management: Maintaining organized compliance files, ensuring documentation is properly categorized, filed, and easily accessible for review. Assist with maintaining office and employee records.
- Administrative Support: Assisting clients, representatives, and management with day-to-day tasks as needed. This may include scheduling meetings, handling simple requests, preparing documents, and providing updates on various projects or requests.
- General Office Support: Assisting with maintaining office supplies and equipment, ensuring a clean and organized office environment, and providing any additional administrative support to various departments.
Qualifications and Skills:
- Detail-Oriented: Strong attention to detail, with the ability to handle multiple tasks simultaneously without sacrificing accuracy or quality.
- Organized: Ability to manage time effectively, prioritize tasks, and maintain an organized workspace.
- Computer Proficiency: Must be proficient in Microsoft Office Suite (Excel, Word, Outlook, etc.) and have a general comfort level with office technology and software.
- Professionalism: Must demonstrate a professional demeanor in all interactions with clients, visitors, and colleagues.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact with individuals at all levels of the organization.
- Adaptable: Willingness to learn new processes and take on additional responsibilities as you grow in the role.
Education and Experience:
- High school diploma or equivalent required.
- Previous office or administrative experience is a plus, but not required.
- Experience with compliance or file management is a bonus.
