What will your job entail?
Responsibilities:
- Provides general administrative support to the office, including managing correspondence, scheduling appointments, and maintaining filing systems.
- Provides administrative support in preparing and formatting documents, reports, presentations, and spreadsheets using word processing, spreadsheet, and presentation software.
- Serves as a primary point of contact for internal and external inquiries, answers phones, responds to emails, and directs inquiries to the appropriate personnel.
- Maintains databases and spreadsheets accurately and efficiently, ensuring data integrity and confidentiality.
- Organizes and maintains electronic and physical filing systems, ensures documents are properly categorized, labeled, and archived for easy retrieval.
- Assists with meeting logistics, including arranging venues, coordinating catering, preparing materials, and recording meeting minutes as needed.
- Coordinates travel arrangements for staff, conducts flight booking, grounds itineraries, hotels, rental cars, and processes expense reports.
- Assists with office operations, checks stock to determine inventory level, anticipates needed supplies, orders, coordinates maintenance and repairs, and ensures working office equipment.
- Collaborates with other administrative staff to support cross-functional initiatives and ensures smooth workflow and communication.
- Assists with ad hoc tasks and projects as assigned by supervisors or management, demonstrating flexibility and willingness to support the team as needed.
Work Experience:
- Minimum of 1 year of experience in Administrative support or a related field is preferred.
Education:
High School Diploma or equivalent.
