We are currently seeking a polished, proactive, and reliable Receptionist to join our team and be the first point of contact for visitors and clients.
Position Summary:
As the Receptionist, you will be the face of our company, responsible for creating a positive and professional first impression for guests, employees, and vendors. You will handle a variety of administrative and customer service tasks to ensure smooth office operations, and support various teams within the organization as needed.
Key Responsibilities:
- Reception and Guest Services:
- Greet and direct visitors, clients, and vendors upon arrival in a warm and professional manner.
- Notify employees of visitor arrivals and ensure smooth check-in/check-out procedures.
- Maintain a welcoming and clean reception area at all times.
- Administrative Support:
- Answer and route incoming calls, providing information and assistance as needed.
- Manage scheduling and coordination of conference rooms for meetings, including preparation for guest arrivals.
- Assist in managing office supplies and inventory, including placing orders and maintaining stock levels.
- Coordination and Communication:
- Communicate with internal teams and external contacts, ensuring timely and accurate delivery of information.
- Coordinate office deliveries, packages, and other logistics to ensure smooth office operations.
- Special Projects (Optional Based on Strengths):
- Support HR with recruitment activities, including scheduling interviews and managing candidate communication.
- Assist with internal events or company initiatives as needed.
- Provide operational support for ongoing projects and help with general administrative tasks.
Qualifications and Skills:
Education & Experience:
- High school diploma or equivalent required; college degree preferred.
- Prior receptionist or administrative experience is a plus, but not required.
Skills and Competencies:
- Exceptional communication skills, both verbal and written, with a professional demeanor.
- Strong organizational and time-management skills, with the ability to multitask effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent interpersonal skills with the ability to interact with individuals at all levels of the organization.

- Highly professional appearance and attitude, with a commitment to excellence in customer service.
- Strong problem-solving abilities and the ability to think on your feet.
- Ability to maintain confidentiality and work well under pressure.
- Detail-oriented and proactive with a strong sense of ownership over tasks.

- the individual’s skill sets, experience and training;
- licensure and certification requirements;
- office location and other geographic considerations;
- other business and organizational needs.
With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
