GENERAL DESCRIPTION:
The Receptionist/Administrative Assistant will be responsible for managing the front desk, handling administrative tasks, and providing support to various departments. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
RESPONSIBILITIES:
-Answers phones in a professional manner, and route calls as necessary.
-Receives, reviews, and distributes incoming emails via Salesforce from usordersna@igus.net and forwards emails to the appropriate team.
-Greet clients and visitors with a positive, helpful, and welcoming attitude. Assuring visitors are signed in on log, IDs verified, and visitor badges assigned and returned.
-Allow all visitor procedures and processes, follow security and control protocols.
-Assist visitors when arriving to meet their host.
-Managing secured entrance and lobby. Ensure lobby is organized, clean, 5S maintained and updated.
-Monitor conference rooms for cleanliness and 5S.
-Receiving deliveries upon arrivals and sending notifications, coordinate pickup.
-Responsible for managing all content and company announcements on cafeteria and lobby televisions.
-Manage office supplies inventory and place orders as needed.
-Ensure compliance with company policies and procedures.
-Catering requests, orders, and managing of spend.
-Sort and deliver mail to each department, monitor “packages shelf” and audit inventory age of such, notify for pickup.
-Support VP of HR and CEO in other HR related tasks such as birthday cards, events, recognition, and similar tasks.
-Assist HR department with merch orders and delivery to associates.
-Perform other office and administrative duties as assigned.
REQUIRMENTS:
-High school diploma or equivalent.
-Proven experience as an administrative assistant, receptionist, or similar role.
-Competency in Microsoft applications including Word, Excel, and Outlook, as well as Salesforce.
-Reception and call center support experience.
-Experience with administrative and clerical procedures.
-Consistent, professional dress and manner.
-Able to contribute positively as part of a team, helping with various tasks as required.
-Good time management skills.
-Outstanding verbal and written communication skills including knowledge of the rules of composition and grammar, the correct structure and content of both written and spoken communications, and the meaning and spelling of words.
-Being courteous and professional when communicating with customers and other igus employees.
-Bilingual preferred, not required.
