Day-to-Day Duties May Include:
- Performing routine data entry that is required to maintain the integrity of record inventory management.
- Maintaining appropriate logs and records.
- Coordinating with record requestors and off-site storage administrator for the archival and retrieval of records.
- Ensuring that users comply with all requirements prior to sending file boxes to offsite storage.
- Preparing physical records for electronic conversion.
- Organizing and classifying records for off-site storage.
- Prioritizing record storage activities projects, ensuring base business needs are met in a timely manner.
- Ensuring all offsite storage file boxes contain a transmittal sheet and are labeled in accordance with our process.
- Aiding internal customers requesting record information.
- Presenting clear and accurate communication to internal customers and offsite storage administrators.
- Communicating both verbally and in writing, with requestors/off-site administrators when process is not being followed.
- Responding to questions raised by requestors.
- Providing continuous improvement of records processes/procedures in accordance with department and company goals and objectives.
- Producing reports and metrics related to records.
- Retrieving records during internal and external audits in a timely manner.
- Auditing record inventory on a periodic basis.
Qualifications:
- High School Diploma required; Bachelors Degree preferred.
- 3+ years of experience working with records, documentation, preferably in a quality organization with a minimum of 2 years in a regulated industry, preferably medical device.
- Proficient using databases, Word and Excel applications, and Windows operating system.
- Well-developed English written and verbal communication skills.
- Ability to lift and move boxes that are up to 50lbs.
- Training in Quality System Regulations and ISO 13485 2016 preferred.
